Job Description

The Office Services Coordinator will assist the Executive Director of Facilities with various tasks including mail services, conference support, office services, meeting services, building services, food service, facilities maintenance, and general office needs. The role involves supporting the Executive Director by providing coverage within the department. Key responsibilities include managing incoming and outgoing mail, operating mail equipment, understanding shipping procedures, assisting with new hire preparations such as badging and desk setups, maintaining knowledge of building operations and service issues, supporting meetings and special events by ordering food and setting up functions, maintaining conference centers and kitchens, assisting with daily operations like copier readings and restocking, communicating with building management, cataloging items for storage, restocking printers and copiers, maintaining office supplies, assisting with vendor repairs and maintenance, coding invoices, managing corporate equipment, and performing other assigned duties and projects.
Must have:

Summary of Position

Work with Executive Director of Facilities to provide assistance as required with mail services, conference support, office services, meeting services, building services, food service, facilities maintenance and general office needs.  Support the Executive Director of Facilities by providing coverage support throughout the department.

Responsibilities

  • Employee’s duties will include the collection, sorting, logging and distribution of incoming mail and pouch items as well as the opening of the mail equipment each morning.  Employee will maintain a thorough working knowledge of the mail equipment, its operation and a full understanding of package tracking using our system or the UPS Web Site.  Employee will maintain a broad understanding of the procedures set forth by the various corporate shipping services including UPS, FEDEX, DHL and USPS.  
  • The employee will be expected to perform other duties regarding mail/messenger as assigned. 
  • Assist with new hire preparations including badging, desk setups and staging prior to arrival.
  • Maintain a thorough knowledge and understanding of the badge system to support employees as needed.
  • Maintain a thorough knowledge and understanding of the building operations so you can assist with service issues and concerns including painting, carpet cleaning, TV installations, adds, moves and changes within the company as well as HVAC and supplemental air systems as required for service support.
  • Maintain a thorough knowledge and understanding of company standards related to meetings and special events including the ordering of food, setting functions and cleaning up after meetings.
  • Demonstrate attention to detail in the maintenance and stocking of the conference center and kitchens.  Maintain inventory of food and beverages for office.
  • Assist the Executive Director of Facilities with projects related to daily operations including copier meter readings, starting equipment in the morning, stocking paper in machines and maintaining the physical appearance of the satellite copy rooms and the main center.
  • Communicate with building management through their website regarding visitors and vendor access.  
  • Assisting with special projects related to cataloguing items for off-site storage.
  • Restock toner and replace paper at printers and copiers.
  • Maintain inventory of office supplies and stock supply areas on the floors.
  • Assist with vendor repairs and maintenance, as needed, including maintenance requests with building management.
  • Assist with the coding of invoices, management of corporate equipment.
  • Assist with other duties and projects as assigned.

Qualifications and Skills

  • Two years’ experience
  • Functional in Word, Excel, Outlook, electronic calendars and conferencing software programs, familiarity with databases.
  • Excellent verbal and written communication skills.  
  • Strong attention to detail; excellent follow-up, ability to multi task and work well under pressure.   
  • Ability to operate office equipment (copiers, fax machines, mail equipment, personal computer, printers, cost accounting system, etc.).
  • Excellent customer service skills to include listening skills, telephone skills and follow-up skills.
  • Can perform moderate to heavy lifting in a 30-pound range as needed; ability to hand carry or load and push carts of material for delivery or pick-up at the location of event or requesting party.
