About the Role:
We are seeking an experienced, highly organized Production Coordinator to oversee all creative, logistical, and administrative elements of our film productions. This role ensures that each project is planned, executed, and delivered efficiently while aligning with the company’s creative objectives.
The Lead acts as a central point of coordination between production, marketing, and development, ensuring smooth communication, resource planning, and seamless execution across all stages of production.
Responsibilities
1. Pre-Production
- Lead script breakdowns to identify locations, cast needs, props, VFX, and production requirements.
- Oversee creation of production schedules using Movie Magic or StudioBinder.
- Partner with the Production Manager & Project Manager on budgeting and expense tracking.
- Supervise hiring of crew, contract execution, and onboarding.
- Direct location scouting, permitting, negotiations, and insurance coordination.
- Oversee travel, lodging, catering, and production office logistics.
- Lead production meetings and distribute call sheets, schedules, and communication summaries.
- Ensure all departments have the resources, timelines, and information needed.
2. Production
- Lead all daily on-set operations and ensure compliance with safety and scheduling requirements.
- Oversee issuance of daily call sheets and review production reports.
- Approve daily expenses, petty cash, and purchase orders.
- Manage cast logistics, scheduling, transportation, and conflict resolution.
- Serve as a communication hub between director, production teams, and executives.
- Solve real-time production challenges such as weather, equipment issues, or schedule disruptions.
3. Post-Production
- Oversee schedules for editing, sound, color, VFX, and music composition.
- Ensure media assets are properly organized, backed up, and delivered.
- Manage vendors, freelancers, and post-production partners.
- Coordinate internal screenings and feedback cycles.
- Partner with Marketing and Distribution to deliver trailers, posters, metadata, and required deliverables.
4. Administrative & Reporting
- Maintain production binders, contracts, releases, and insurance documentation.
- Oversee payroll submissions, timesheets, and approvals.
- Manage expense reporting and accounting wrap-out.
- Provide weekly status updates and reports to executives.
- Archive all production materials following final delivery.
Qualifications
- 3–5+ years of experience in film or television production, with experience in a coordinator or lead role.
- Strong understanding of production workflows from planning through delivery.
- Proficient with Movie Magic, StudioBinder, or similar scheduling software.
- Strong communication, leadership, and conflict-resolution skills.
- Ability to multitask and manage complex projects in a fast-paced environment.
Compensation
Salary Range: $75,000 – $90,000 annually, depending on experience.
