Job Summary

Fortune Live Media is seeking a Programming Coordinator to support world-class conferences and events. This role involves researching session topics and speakers, managing briefing documents, coordinating speaker relations, and providing event support. The coordinator will also collaborate with cross-functional teams, manage programming timelines, and contribute innovative ideas to enhance audience engagement, ensuring events run smoothly and successfully.

Must Have

  • Research and identify compelling session topics and speakers
  • Manage briefing documents for internal and external speakers
  • Manage internal agenda updates and ensure external materials are accurate
  • Support invitations, confirmations, onboarding, and communications with speakers
  • Maintain internal speaker outreach trackers and programming wish lists
  • Provide administrative support, including scheduling prep calls
  • Coordinate speaker rehearsals on-site and manage high-profile guests
  • Coordinate online event delivery, including technical setup and troubleshooting
  • Liaise with production, marketing, and business development on programming needs
  • Manage programming-related documents, templates, and event website content
  • Provide on-site support, including speaker wrangling and session management
  • Maintain programming timelines and master event schedules
  • Create and update speaker and demographic reports
  • Manage virtual event operations, logistics, scheduling, and troubleshooting
  • Bachelor’s degree in journalism, communications, media, event production, or related field
  • 1–2 years of experience in editorial, event programming, conferences, PR, or client services
  • Strong research, writing, organizational skills, and attention to detail
  • Excellent interpersonal and client-facing skills
  • Willingness to travel for domestic and international events

Job Description

Fortune Live Media produces world-class conferences and events that bring together top innovators and thinkers to explore key trends in business and society. Described as “live journalism,” these editorially driven gatherings blend high-level production with impactful content. This position helps ensure our events run smoothly and successfully maintaining Fortune's global leadership in community-building and newsroom-led gatherings.

Key Responsibilities

Programming and Content Coordination

  • Research and identify compelling session topics and speakers for Fortune live events, including flagship conferences and custom in-person or virtual gatherings.
  • Manage briefing documents for internal and external speakers—creating templates, adding logistical details, and incorporating approved editorial content. (Familiarity with Canva preferred.)
  • Manage internal agenda updates and ensure all external-facing materials are accurate, timely, and presented in Fortune’s editorial style.
  • Support the Programming Team to ensure content is engaging, newsworthy, and creatively curated.

Speaker Relations and Event Support

  • Support invitations, confirmations, onboarding, and communications with speakers and their teams.
  • Maintain internal speaker outreach trackers and programming wish lists.
  • Provide administrative support, including scheduling prep calls with editors and speakers.
  • Coordinate speaker rehearsals on-site as needed and manage high-profile guests with professionalism and discretion.
  • Coordinate online event delivery, including technical setup and troubleshooting for platforms such as Zoom and Teams. Conduct rehearsals and ensure speakers are equipped for presentations, especially for virtual events.

Cross-Team Collaboration and Project Management

  • Liaise with production, marketing, and business development on programming needs and deliverables.
  • Manage programming-related documents, templates, and event website content.
  • Provide on-site support, including speaker wrangling and session management.

Operations and Innovation

  • Maintain programming timelines and master event schedules.
  • Create and update speaker and demographic reports for internal and sponsor use.
  • Manage virtual event operations, including logistics, scheduling (Zoom and event platforms), and troubleshooting.
  • Contribute creative, editorial, and timely ideas to enhance programming and audience engagement.
  • Use AI tools and emerging technologies to streamline workflows, improve efficiency, and support innovation.

Qualifications

  • Bachelor’s degree in journalism, communications, media, event production, or related field.
  • 1–2 years of experience in editorial, event programming, conferences, PR, or client services.
  • Strong research, writing, organizational skills, and attention to detail.
  • Excellent interpersonal and client-facing skills; comfortable with high-profile executives.
  • Knowledge of CRM systems (Salesforce), event platforms (e.g., CVENT), and Excel preferred.
  • Familiarity with AI systems and processes, and enthusiasm for applying them in day-to-day workflows, is a plus.
  • Interest in business news and passionate about media and current events.
  • Willingness to travel for domestic and international events.

Total Compensation Range: $60,000-$65,000 (non-exempt). Commensurate with experience. This range is a good faith estimate and may ultimately vary based on a number of relevant factors.

Location: This role will be based in NYC with 5 days/week in the office.
