Job Description

This Publishing Assistant role supports the Life Sciences Journals team in Heidelberg, providing administrative and operational assistance for a portfolio of scientific journals. Key responsibilities include preparing agreements, updating internal systems, managing records, and handling enquiries. The position involves close collaboration with various departments and offers a broad insight into scientific publishing and journal management.
Good To Have:
  • Degree in a biological or life science discipline (or similar).
  • Previous experience in academic publishing.
Must Have:
  • Provide administrative and operational support for a portfolio of scientific journals.
  • Prepare new agreements, update internal systems, request payments, and maintain journal records.
  • Prepare materials for team reports, conferences, and board meetings, including PowerPoint presentations.
  • Request annual journal reports and monitor schedules.
  • Handle general enquiries from internal teams and external partners such as editors, authors, and societies.
  • Work closely with colleagues across departments (Production, PP&I, GPO, Marketing, and Conferences) to coordinate journal-related activities.
  • Respond to routine queries from Customer Service teams.
  • Support the development and management of new and existing journals in the Life Sciences portfolio.
  • Use internal databases and software tools to track projects and maintain accurate records.
  • Educated to degree level or equivalent experience.
  • Excellent written and spoken English communication skills.
  • Strong computer literacy, particularly in MS 365 (Word, Excel, PowerPoint, Teams).
  • High attention to detail with strong organizational and analytical skills.
  • Ability to work independently, proactively, and responsibly.
  • Willingness to learn and ability to grasp new systems and workflows quickly.
  • Strong interpersonal skills and the ability to work effectively in a multicultural, global environment.

About the Role

We are seeking a Publishing Assistant to join the Life Sciences Journals team within Springer Journals in Heidelberg.

This role supports a global team of Publishers in their development, reporting, and the day-to-day management of a diverse journal portfolio. Maintaining strong relationships with internal colleagues, academic editors, editorial boards, authors, and external society partners is key to success in this role.

The position offers a great opportunity to gain broad insight into scientific publishing and journal management, while contributing to the success and smooth running of a large Life Sciences portfolio.

Role Responsibilities

Journal and Team Support

  • Provide administrative and operational support for a portfolio of scientific journals.
  • Prepare new agreements, update internal systems, request payments, and maintain journal records.
  • Prepare materials for team reports, conferences, and board meetings, including PowerPoint presentations.

Experience, Skills, and Qualifications

Essential

  • Educated to degree level or equivalent experience.
  • Excellent written and spoken English communication skills.
