Who are we hiring?
We are seeking a polished and professional, service-driven Senior Coordinator, Brand Events to support our internal teams in delivering world-class events at Sphere. You’ll play a key role in planning high-profile brand experiences from concept through completion — managing details with precision and proactively addressing challenges, while delivering exceptional client service.
This is a client-facing role that demands professionalism and a welcoming, service-driven approach rooted in enthusiasm. You’ll integrate seamlessly with the Brand Events team and collaborate across departments including Sales, VIP Services, F&B, Ticketing, Production, Venue Operations, Security and Transportation to ensure alignment and flawless event execution. Duties include preparing event presentations, organizing ticketing needs and credentials, managing catering orders, VIP services, transportation needs, digital assets and overall event logistics. This position will report to the Sr. Manager, Brand Events.
What will you do?
- Support the Sr. Manager and internal team in the day-to-day planning and execution of brand experience events.
- Provide outstanding client service with a warm and welcoming demeanor, taking initiative to anticipate and address client needs.
- Assist in gathering pertinent event details like space requirements, attendee counts, F&B orders, ticketing and credential needs, and more from the client and event managers.
- Participate in day-of event execution on site starting from set up, and ensure all details are flawlessly managed through end of show.
- Develop and maintain event presentation decks and planning documents, ensuring all information remains accurate and current. Communicate changes to internal teams and clients.
- Attend planning calls with client, capturing key discussion points and decisions, critical event details and action items. Distribute recaps to internal and external stakeholders.
- Coordinate client site visits, tastings and venue tours, while maintaining a log of all on-site visits.
- Maintain accurate records of all client activities throughout event process such as phone calls, meetings, site visits and manage deadlines for event deliverables.
- Work closely with client and Sphere’s F&B team to plan the F&B program for the event; gather menu options, present packages, organize tastings, facilitate proposals, manage change orders, and confirm and finalize BEO’s.
- Partner with Sphere’s Content and Digital Signage team to oversee client asset management and ensure timely delivery of all materials.
- Distribute relevant event information to internal departments such as Studios, production, security, operations, F&B, ticketing, and more, ensuring all parties are aligned and have consistent information.
- Remain informed on venue operations procedures and deadlines; ensure clients understand and comply with all guidelines.
- Assist with additional projects as needed to support department operations.
What do you need to succeed?
- Ideal candidate will have 3+ years of demonstrated experience working at corporate organizations on brand events in arenas or similar environments with up to 15,000 people, preferably in live entertainment.
- Ideal candidate will have 3+ years of demonstrated experience working with high-profile brand clients and c-suite executives in a service-driven, fast-paced environment.
- Must have a well-rounded understanding of event planning including but not limited to schedules, logistics, food & beverage, production, budgets, including terminology, operations, and service standards.
- Familiarity with event formats such as Keynotes, Panel Discussions, Concerts, Product Launches, Receptions, Conferences and more.
- An outgoing, collaborative team player with the ability to build strong relationships, contribute positively to group dynamics, and support the team effectively. Teamwork mentality and collaboration is a must!

- Proficiency in MS Office Suite (Outlook, Excel, Word, PPT and Sharepoint) is required.
- Comfortable navigating event planning, catering, ticketing, and database management systems; experience in F&B platforms such as TripleSeat and event platforms such as AirTable is preferred.
- Experience in ticketing platforms such as Archtics is a plus.
- Must be able to work nights, weekends and holidays as needed for events.
