Specific compensation will be based on candidate’s experience, skills, qualifications, commercial considerations, and other job-related factors permitted by law. Job Description:
We are seeking an experienced Senior Facilities Manager to lead and oversee the facilities maintenance, operations, and corporate services of our downtown Seattle headquarters and AMER real estate portfolio. This senior leadership role requires a strategic thinker who can drive operational excellence, optimize workplace experience, and enhance vendor and stakeholder relationships. Reporting to the Head of Global Real Estate & Facilities, the Senior Facilities Manager will collaborate extensively with IT, HR, and other cross-functional departments to develop and implement organizational policies related to facilities and corporate services. This role demands a proactive leader who can manage complex projects, implement best practices, and ensure an exceptional work environment for employees.
Key Responsibilities:
Facilities and Corporate Services Leadership
- Provide overall strategic direction for facility management services, ensuring operational efficiency and continuous monitoring of office infrastructure.
- Oversee all aspects of facility maintenance, safety, and workplace experience to support a seamless and functional environment.
- Develop and implement policies and procedures to optimize facility operations and ensure compliance with regulations.
- Establish and maintain service level agreements (SLAs) and key performance indicators (KPIs) for facility operations and vendor management.
- Partner with stakeholders across departments to align workplace strategies with business goals and employee needs.
- Manage a team of up to five associate managers and coordinators across the AMER region, ensuring operational consistency and excellence.
- Drive company culture of inclusion and connectivity across all sites.
- Work with senior management to develop and standardize best practices across all locations.
- Participate in project management and global event planning, ensuring information consistency across locations.
Operational Excellence and Compliance
- Conduct regular inspections of facilities to ensure adherence to cleanliness, safety, and maintenance standards.
- Respond to and resolve facility-related issues promptly, ensuring high levels of service and client satisfaction.
- Oversee security, emergency preparedness, and environmental health and safety (EH&S) programs, including fire drills, safety training, and first-aid readiness.
- Manage facility maintenance requests, including tracking work orders, monitoring vendor performance, and ensuring timely issue resolution.
- Standardize procedures across all locations for ISO compliance and regulatory adherence.
- Oversee the onboarding and offboarding of personnel within Real Estate & Facilities (RE&F).
Strategic Sourcing and Procurement
- Lead sourcing, negotiation, and contract management for facility support services across all AMER locations.
- Analyze procurement data to drive cost savings while maintaining high service quality.
- Oversee vendor selection, bidding processes, and contract administration to ensure optimal facility service performance.
- Implement best practices for vendor relationship management, ensuring accountability and continuous improvement.
Supplier Relationship Management
- Serve as the primary liaison for outsourced facility service providers, ensuring alignment with corporate standards and operational goals.
- Monitor vendor performance through KPIs and audits to ensure efficiency and cost-effectiveness.
- Manage invoice reconciliation and financial oversight of facility-related expenditures in collaboration with finance teams.
- Identify opportunities for process improvements and implement innovative solutions for workplace optimization.
- Ensure training of vendors and internal teams to comply with workplace management policies.
Project Management and Workplace Optimization
- Lead and execute large-scale facility projects, including office renovations, space planning, and ergonomic programs.
- Support corporate real estate initiatives, including lease negotiations and workspace utilization analysis.
- Oversee the execution of corporate events, workplace moves, and business continuity planning.
- Leverage technology and analytics to improve workplace efficiency and user experience.
- Continuously review and improve services and programs to enhance workplace functionality.
Qualifications and Experience:
- 10+ years of experience in facility management, corporate services, or related fields, with at least 3+ years in a leadership or senior management role.
- Proven expertise in managing leased and owned corporate facilities across multiple locations.
- Strong background in procurement, contract negotiation, and supplier relationship management.
- Experience in managing corporate services such as mailroom operations, security, janitorial services, and travel programs.
- Demonstrated ability to develop and implement facility policies, compliance measures, and workplace safety programs.
- Proficiency in space planning, project management, and workplace optimization strategies.
- Excellent stakeholder management, problem-solving, and decision-making skills.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Project) and facility management software.
- Experience managing budgets and overseeing regional financial planning for facility operations.
- Ability to lead and develop teams, ensuring consistent training and professional growth of workplace managers.
- Minimal travel required, with occasional visits to offices and team members across the region.
