Job Description

This Senior Software Asset Management SaaS Specialist role at Iron Mountain supports and enhances software asset lifecycle practices, focusing on SaaS and cloud-based applications. Responsibilities include leading end-to-end lifecycle management, monitoring license inventories, collaborating on contracts, optimizing SaaS spend, and serving as an SME for licensing models. The specialist will drive continuous improvement in SaaS asset governance, ensuring compliance and efficient usage across the organization.
Must Have:
  • Lead the end-to-end lifecycle management of SaaS software assets, including onboarding, renewals, usage optimization, and offboarding.
  • Monitor and maintain accurate SaaS license inventories, usage data, and subscription entitlements using SAM tools and vendor portals.
  • Collaborate with procurement and legal teams to review contracts, negotiate renewals, and track entitlements for compliance.
  • Implement and maintain governance standards, policies, and processes for SaaS licensing, ensuring alignment with enterprise architecture and security policies.
  • Identify opportunities to optimize SaaS spend, consolidate tools, and reduce shadow IT.
  • Analyze usage data and trends to make recommendations on license reallocations, downgrades, or deprovisioning.
  • Serve as a subject matter expert (SME) for SaaS licensing models (user-based, consumption-based, tiered pricing, etc.).
  • Support internal audits and external vendor true-ups with accurate reporting and compliance documentation.
  • Drive continuous improvement in SaaS asset governance by adopting best practices and automation wherever possible.
  • In-depth knowledge of software & SaaS licensing models, including user-based, tiered, subscription, and consumption-based pricing.
  • Proficiency with SAM platforms and SaaS management tools (ServiceNow SAM Pro, Flexera, Snow Software, Torii, Zylo, BetterCloud).
  • Strong understanding of SaaS platforms (Microsoft 365, Salesforce, Adobe, Workday, ServiceNow, Atlassian, Google Workspace).
  • Experience with usage analytics, license tracking, and optimization techniques for cloud-based applications.
  • Familiarity with procurement and contract terms specific to SaaS.
  • Ability to manage SaaS onboarding/offboarding processes, license provisioning, and renewal cycles.
  • Proven ability to work cross-functionally with IT, procurement, finance, legal, and business stakeholders.
  • Ability to translate complex license data into clear business insights and recommendations.
  • Advanced skills in Excel or data visualization tools (Power BI, Tableau) for tracking and analyzing software usage and spend.
  • Bachelor's degree in Information Technology, Business, or a related field.
  • 5+ years of experience in Software Asset Management, with a strong focus on SaaS platforms.

Primary purpose of the role:

This role is to support and enhance software asset lifecycle practices across the organization.

The role is responsible for executing day-to-day software asset management activities, ensuring license compliance, tracking usage, and helping to optimize software spend—particularly across SaaS and cloud-based applications.

The ideal candidate has strong hands-on experience with software licensing models and asset management tools and is comfortable working across departments including procurement, finance, legal, and IT operations.
