Job Description

Responsible for the organization and administrative tasks in the employee’s specified work group, mainly supporting internal employees and external customers. This role involves coordinating project documents, assisting with customer quoting, generating sales orders, managing technician paperwork, scheduling jobs and trainings, researching billing issues, issuing shop releases, creating various project documents, and performing general administrative duties. The coordinator also assists with invoicing, travel arrangements, new hire training, and service truck inventory management.
Must have:
  • Coordinate all project documents including document/drawing control and project file management.
  • Assist in the customer quoting process to ensure that each customer receives what they are requiring.
  • Enter customer inquiries and quotes.
  • Generate sales orders.
  • Update and manage technician paperwork.
  • Assist with scheduling jobs and safety trainings.
  • Research outstanding billing issues.
  • Issue shop releases and shipping lists to the shop for production purposes.
  • Create various project documents using Word, Microsoft Project, and Excel.
  • Perform administrative duties such as shipping and receiving, coordinating meetings, filing, organizing, and making copies when needed.
  • Produce a variety of reports as deemed necessary.
  • Assist with gathering receipts, reports, and other information for invoicing purposes.
  • Make travel arrangements.
  • Schedule new hire training including booking meeting rooms, ordering office supplies, ordering uniforms, and producing agendas.
  • Assist with managing service truck inventory.
Good to have:
  • Bachelor's degree.
  • Previous office experience.
  • Advanced organizational skills.
  • Advanced writing skills.
  • Ability to work efficiently in a fast-paced environment.
  • Intermediate knowledge of Word and Excel.

QUALIFICATIONS:

Bachelors degree preferred. Previous office experience is a plus. Advanced organizational and writing skills are preferred. Ability to work efficiently in a fast-paced environment. Intermediate knowledge of Word and Excel is preferred but not required.
