Job Description

As an Office Services Coordinator in Limerick, Ireland, you will manage office equipment, supplies, kitchenettes, and vending services. Responsibilities include maintaining inventories, coordinating postal services, assisting with event organization, and ensuring meeting facilities are proper. You will also support the CSR program, manage Health & Safety compliance, and act as the first point of contact during fit-out projects. This part-time role requires strong organizational, communication, and problem-solving skills, along with computer proficiency.
Must Have:
  • Manage office equipment such as copiers and supplies
  • Set up and maintain inventories of all equipment (stationery, copiers)
  • Liaise with requisitioners and service providers on proper delivery, handling and invoicing (using cost centers to track expenses)
  • Manage kitchenettes and kitchen equipment and supplies
  • Manage vending services and machines such as coffee machines, soda machines, and water taps
  • Take care of the interior plants and flower maintenance
  • Monitor delivered services to meet requirements and compliance
  • Manage daily incoming and outgoing postal services, postal service contracts
  • Manage properness of meeting, training and briefing facilities
  • Assist the management assistant in organizing events, being the point of contact with catering services and setting up rooms based on specific demands
  • Assist in organizing company events and managing holiday decorations
  • Coordinate the ordering and delivery of reprographic materials
  • Maintain good relationships with management, property managers and suppliers
  • Respond to any service requests for office needs (products or services), special applications (furniture, nameplates) and office moves and transfers
  • Assist in obtaining quotes and follow up with vendors
  • Process requisitions, purchase orders, receiving and invoicing
  • Verify cost centers and account numbers of accuracy and correct budget allocations
  • Follow up with vendor for timely delivery and satisfaction of requisitioner
  • Prepare desks (dedicated desks or flex desks) to make sure the office is ready for occupancy
  • Supply support on the locator application
  • Clean out offices under the direction of the Manager of that particular area and make them ready for the new occupant
  • Support the CSR Program of Progress which includes strategies towards environmental sustainability and Inclusion and Diversity
  • Charge of Health & Safety compliance, issues, policies, and practices
  • Be the first point of contact during fit-out project onsite and operate closely with the project development manager
  • Excellent organizational skills
  • Ability to be self-managed and work independently
  • Strong communication and problem-solving skills
  • Ability to make balanced and timely decisions with incomplete information
  • Willingness to challenge yourself to utilize technology wherever appropriate to increase efficiency, improve operations, and decrease costs
  • Comfortable with computer skills: Outlook Calendar, Excel, and other internal software used to manage the facilities
