We are looking for an accurate and proactive administrative project assistant for our Service and Planning department within the Water Safety Advisory division, with additional support for the Engineering team. In this versatile role, you are the fixed point of contact within a small, close-knit team. You ensure that all processes—administrative and organizational—run smoothly. You work with the Syntess system, monitor progress via dashboards, keep track of planning, and regularly coordinate with colleagues, clients, and subcontractors. You also support management with agenda management, communication, and project coordination.
Must Have
- MBO+ work and thinking level
- Experience in an administrative, planning or coordinating function
- Accuracy, independence and sense of responsibility
- Proficiency with digital systems
- Stress resistance and solution-oriented
- Flexibility to quickly switch between various activities

With over 500 colleagues, spread across 12 locations, we work within the Geotechnics, Risk Management & Claims, and Building Performance divisions. You will join the Building Performance Advisory business unit, where expertise, collaboration, and social impact are central.
Job Description
Your role
In this versatile role, you are the fixed point of contact within a small, close-knit team. You ensure that all processes—administrative and organizational—run smoothly.
You work with the Syntess system, monitor progress via dashboards, keep track of planning, and regularly coordinate with colleagues, clients, and subcontractors. You also support management with agenda management, communication, and project coordination.
What will you do?
- Coordinate and administratively support projects
- Prepare, manage, and monitor schedules
- Act as a point of contact for clients, colleagues, and subcontractors
- Support management and project leaders
Specific tasks:
- Process requests, assignments, and calculations
- Maintain the project dashboard and project planning
- Archive project documentation and prepare projects for invoicing
- Prepare work and order forms
- Request and monitor VOGs (Certificates of Conduct) and Defense passes
- Monitor drawing work.
