Job Description

Iron Mountain is seeking an enthusiastic and motivated Archive Assistant in Curitiba, Brazil, to join their team. This full-time role involves providing excellent service by researching, checking, and processing client documents. Responsibilities include sanitizing, organizing, and registering incoming and outgoing document boxes according to company procedures. The assistant will also handle client inquiries via phone for certain departments. This position is crucial for maintaining accurate records and ensuring efficient document flow within the company, contributing to Iron Mountain's commitment to expert and sustainable information management solutions.
Must have:
  • Control the entry and exit of searches through requests received by emails from clients, internal system or client system.
  • Register and search document data in a specific system or spreadsheets sent by the client, when incomplete, as directed by the manager.
  • Check and search physical documents, images or copies from clients, according to received requests.
  • Forward documents requested by clients to the routing area for delivery to the requested location, as well as the return of documents received with discrepancies identified in the system.
  • Locate document boxes, following instructions or address indications (corridors, shelves, levels, etc.) established by current procedures or instructions given by the superior. After research work, return these volumes to the initial location.
  • Fill out daily activity reports (OPLOG form), according to IMB models and procedures, for evaluation and control of individual and department production.
  • When there are no direct function tasks, assist other departments and perform related tasks as requested by the immediate manager.
  • Update spreadsheets with necessary controls, as determined by the client or manager, as well as inserting data into the internal system or specific client system.
  • Serve clients by phone for document requests and provide support whenever requested for web queries (exclusive to GAA, Archive Organization, Research, and Exclusive Site sectors).
  • Receive and check physical documents received by courier from clients and update the system with confirmation of receipt (exclusive to GAA, Archive Organization, Research, and Exclusive Site sectors).
  • Provide external service to clients or other company units, performing tasks of checking, preparing, organizing documents for storage, whenever necessary (exclusive to Archive Organization sector).

ARCHIVE ASSISTANT

We are looking for an Archive Assistant to join our team! We are looking for a professional who brings enthusiasm and motivation to provide excellent service to our clients. This person will be responsible for researching and checking the documents requested or sent to the company. Process documentation, sanitize, organize, register incoming and outgoing boxes according to established company procedures. In addition to serving customers by phone in some departments.

RESPONSIBILITIES

  • Exclusive activity of the Archive Organization (O.A) sector:
  • Provide external service to clients or other company units, performing tasks of checking, preparing, organizing documents for storage, whenever necessary.

REQUIREMENTS

  • Complete High School
  • Concentrated attention, agility, proactivity, work organization and teamwork.
