Job Description

We are looking for a skilled and hands-on Contract Administration Supervisor to lead and support a team of contract administrators. This role requires strong legal operations experience, people management skills, and the ability to drive process efficiency across contract workflows. The supervisor will ensure timely, accurate contract processing and act as the key liaison between legal, business teams, and junior staff.
Must have:
  • Supervise, train, and mentor a team of entry-level and mid-level contract administrators, ensuring quality, consistency, and compliance in contract processing.
  • Oversee daily contract operations, including document review coordination, signature routing, and archiving.
  • Act as a subject matter expert on contract lifecycle management, legal department workflows, and compliance protocols.
  • Manage team capacity and prioritize assignments to meet business deadlines, especially during high-volume periods.
  • Coordinate closely with legal and business teams to ensure process clarity and resolve escalations.
  • Recommend and implement process improvements to enhance workflow efficiency and user experience.
  • Own and update internal tools and resources (intranet pages, templates, workflows) for contract administration.
  • Support legal operations initiatives

Key Responsibilities

  • Supervise, train, and mentor a team of entry-level and mid-level contract administrators, ensuring quality, consistency, and compliance in contract processing.
  • Oversee daily contract operations, including document review coordination, signature routing, and archiving.
  • Act as a subject matter expert on contract lifecycle management, legal department workflows, and compliance protocols.
  • Manage team capacity and prioritize assignments to meet business deadlines, especially during high-volume periods.
  • Coordinate closely with legal and business teams to ensure process clarity and resolve escalations.

Qualifications

  • Fluent in English; additional languages highly desirable.
  • 5+ years of experience in contract administration or legal operations, including at least 1–2 years in a supervisory or team lead role.
  • Strong command of Microsoft Office and Google Suite (Docs, Sheets, Gmail, Drive).
  • Experience with contract management systems (e.g., DocuSign, CLM tools).
  • Demonstrated ability to manage teams, delegate effectively, and ensure accountability.
  • High attention to detail, with excellent organizational and documentation skills.
  • Strong interpersonal, communication, and stakeholder management skills.
  • Flexible and reliable during busy periods, especially at quarter- and year-end.
  • Proactive, solutions-oriented mindset with the ability to drive process improvements and team development.
