Job Description

The Customer Sales Order Entry role at Wolters Kluwer is responsible for accurate and timely data entry into SAP ECC to support Order to Cash processes for Compliance Solutions products and services. This position requires independent judgment, analytical skills, and adherence to procedures to ensure precise invoicing, revenue recognition, and cash flow. Key responsibilities include provisioning customer access to products, submitting invoices via SaaS billing portals, managing contracts, and utilizing Salesforce for client communication and case management. The role significantly impacts financial operations and customer experience.
Good To Have:
  • Previous data entry experience.

Must Have:
  • Identify inputs from source documents related to invoicing, contract/maintenance renewals, and licensing.
  • Enter/update orders in SAP ECC according to customer requirements.
  • Manage orders through the fulfillment process.
  • Provision customers for product access using multiple SaaS based systems.
  • Submit invoices via SaaS based customer billing portals.
  • Pull copies of contracts from document retention system.
  • Cancel and re-invoice after manually updating key data points in SAP.
  • Execute custom invoice handling reports and actions.
  • Reconcile credit card payments via CVent against invoices generated.
  • Review renewal SAP contracts for potential late invoicing.
  • Assist with projects to perform repeat transactions.
  • Work from Salesforce case queues to obtain work or communicate with clients.
  • Fluency in English.
  • Excellent attention to details.
  • Ability to perform manual calculations.
  • Independent thinking and decision-making.

Job description

The Customer Sales Order Entry is primarily responsible for data entry into SAP ECC to support the Order to Cash for Compliance Solutions products and services. This position uses independent judgment and decision making as well as analytical skills to use multiple procedures and policies necessary to ensure accurate and timely invoicing. There is high financial impact as a result of the entry being done as it relates to revenue recognition, cashflow and sales compensation etc. In addition, this position involves provisioning customers their access to our products and services which also impacts revenue as well as the customer experience.

Responsibilities

  • Identifies inputs from source documents related to invoicing, contract/maintenance renewals, and licensing to ensure orders are invoiced accurately and promptly.
  • Uses SAP ECC system to enter/update orders according to customer requirements and manages orders through the fulfillment process.
  • Identifies potential issues related to invoicing based on customer historical invoicing patterns to ensure orders are invoiced accurately.
  • Occasionally work from spreadsheets to gather information necessary to update values into SAP ECC that will trigger invoices.
  • Use multiple SaaS based systems to Provision customers for use of their products.
  • Use SaaS based customer billing portals to submit their invoices in a timely manner to ensure we receive timely payment.
  • Pull copies of contracts from document retention system.
  • Cancel invoices and re-invoice after manually updating key data points in SAP.
  • Execute custom invoice handling reports and actions to ensure accurate delivery and handling of customer requirements.
  • Reconciliation of credit card payments via CVent against invoices generated to ensure payments can align to clear the invoice.
  • Review renewal SAP contracts for potential late invoicing and execute as necessary.
  • Assist with projects to perform repeat transactions that result in many accounts being updated for the same task that cannot be automated.
  • Use of Sales Force to work from case queues to obtain work or to re-distribute to other departments as well as to communicate with clients.

Qualifications

  • Bachelor’s degree.
  • Previous data entry and SaaS based solutions is a plus.
  • Fluency in English.
  • Excellent attention to details with the ability to retain knowledge of operating systems, procedures, products, compliance and customer information while managing multiple tasks and maintaining high accuracy standards.
  • Continuous learning – pursues ongoing personal development, is curious and seeks feedback.
  • Independent thinking and decision-making – seeks ideas, input, and direction with personal knowledge and reasoning to reach systemically-balanced conclusions.
  • Ability to perform some manual calculations based on analysis of documentation in order to execute entry accurately.
