Job Description

This role supports the Global Market Enablement Structural Heart Medical Education team, focusing on meeting and event planning for 40+ customer and/or employee facing education programs annually, ranging from 1-100 attendees. Responsibilities include end-to-end logistics management, defining and updating event protocols, driving execution, maintaining event calendars, and managing all invoicing and spend for education and training activities. The ideal candidate will have a Bachelor’s degree or equivalent experience, 3+ years in the events industry, strong organizational, communication, and technical skills, and be a self-starter with exceptional project and time management abilities.
Must have:
  • Manage logistics end to end for all training and education events.
  • Define, create & update process and protocol documents for pre-event planning, event execution, and post event engagement.
  • Drive and execute protocol for all events by scheduling pre-event meetings, being available for troubleshooting, and driving after action reports.
  • Maintain all internal and external event calendars, rosters, and communication to attendees.
  • Manage, document and track all invoicing & spend for education and training activities, including monthly budget reconciliation.

Job Details

In this role you will report to the Commercial Events & Operations Functional Lead and will support the Global Market Enablement Structural Heart Medical Education team. Your responsibilities meeting & event planning for 40+ customer and/or employee facing education programs ranging from 1-100 attendees annually.

Your role:

  • Manage logistics end to end for all training and education events: including event registration website build, attendee management, scheduling, staffing, transportation and accommodations, supporting materials and equipment/audio-visual support, facility arrangements, budget tracking, vendor management, contracts, transparency reporting, expense reconciliation, PO creation and post event metrics.
  • Define, create & update process and protocol documents for pre-event planning, event execution, and post event engagement for all events.
  • Drive and execute protocol for all events by scheduling pre-event meetings with all stake holders, internal and external, be available and when appropriate present for all events for day of troubleshooting and flawless execution and driving after action reports to refine processes and understand how event could be improved.
  • Maintain all internal and external event calendars, rosters, communication to attendees, ensuring attendees event requirements are met.
  • Manage, document and track all invoicing & spend for education and training activities. Roll up monthly budget reconciliation. Includes management and tracking of spend on honorarium, facility use, audio visual, food & beverage, transportation, content development and shipping, etc.

You're the right fit if:

  • You have a Bachelor’s degree or equivalent experience.
  • You’ve acquired 3+ years of experience in the meeting/ events industry or other relevant experience.
  • Your skills include excellent organizational, the ability to manage multiple events at once, strong communication, enhanced technical aptitude, proficiencies in MS Office suite & Teams, CVENT or equivalent, Steeprock, texting platforms, IQVIA, Ariba, Agile, Salesforce or Concur.
  • You must be able to successfully perform the following minimum Physical, Cognitive and Environmental job requirements with or without accommodation for this position.
  • You’re a self-starter with exceptional project & time management skills.
  • You are willing and able to travel to support onsite event logistics or attend team meetings 15% of your time.
