Job Description

The Executive Assistant cum Sales Coordinator at Moonbox Branding Agency will provide high-level support to the business owner, ensuring smooth daily operations, managing executive schedules, coordinating meetings, and handling task management. The role also includes sales coordination duties to enhance client engagement and sales effectiveness, contributing to Moonbox’s growth and brand success. This position demands excellent organizational skills, strategic thinking, multitasking capabilities, and strong communication.
Must Have:
  • Manage and organize the business owner’s calendar, appointments, travel plans, and important deadlines.
  • Attend and document key discussions in meetings, tracking action items and ensuring follow-up completion.
  • Facilitate effective communication between the business owner, teams, and clients to optimize workflow.
  • Maintain organized records of documents, meeting notes, project statuses, and key updates.
  • Prepare comprehensive reports, executive presentations, and business summaries.
  • Prioritize and handle high-level correspondence including calls and emails with discretion.
  • Identify operational challenges and recommend solutions to optimize agency processes.
  • Assist sales teams with lead tracking, follow-ups, and CRM management for seamless client relations.
  • Develop and assist in preparing sales proposals, quotations, and presentations tailored for branding clients.
  • Coordinate between sales, marketing, and project teams to ensure client expectations are met.
  • Schedule and facilitate sales meetings, client calls, and product/service demonstrations.
  • Monitor sales performance, generate relevant reports, and provide status updates to leadership.
  • Support sales onboarding and training initiatives for new team members.

  • Exceptional organizational, multitasking, and time-management skills with a sharp eye for detail.
  • Excellent verbal and written communication skills, adept at client interactions and internal communication.
  • Proficiency in Google Workspace, Microsoft Office Suite, CRM platforms, and project management software.
  • Confidentiality and professionalism in handling sensitive business information.
  • Capability to excel in fast-paced environments and juggle diverse priorities effectively.
  • Understanding of sales cycle and client management specific to branding or creative projects.
