Job Summary

The Facility Coordinator is responsible for supervising office space and managing day-to-day facility operations. This includes providing high-quality customer service, ensuring a safe work environment, handling office administration, health & safety activities, and ad hoc service requests. Key duties involve resolving technical issues, monitoring indoor air quality, arranging meeting spaces, supporting AV equipment, managing physical office changes, and coordinating with service providers to maintain a tidy and presentable office.

Must Have

  • Experience in a similar position (reception/administration/facility management or related)
  • Communicative level of English language
  • Knowledge of MS Office applications
  • Ability to use office equipment
  • Detect and quickly resolve technical issues within offices
  • Monitor work environment/indoor air quality parameters
  • Arrange and re-arrange meeting and townhall spaces
  • Support and troubleshoot meeting room AV equipment
  • Perform physical MAC (Moves, Ads and Changes) of open space and collaboration areas
  • Ensure all specific facilities issues are logged and shared with manager
  • Cooperate with cleaning and technical services
  • Ensure general office space is tidy and presentable through regular audits
  • Assist with coordinating logistics for internal events
  • Support reception staff during absences

Overview

Facility Coordinator is responsible of the office space supervision, the day to day operations of Facilities Services, providing high quality customer service and experiences creating a fun and safe place to work including office administration, health & safety activities and Ad hoc service requests.

Responsibilities

  • Detection and quick resolution of technical issues within the offices
  • Monitoring of work environment/indoor air quality parameters, reacting and resolving of potential deviations
  • Meeting and townhall space arrangement/re-arrangement
  • Active contribution to team meetings
  • Meeting room AV equipment support and troubleshooting
  • Physical MAC (Moves, Ads and Changes) of open space and collaboration areas
  • Ensuring all specific facilities issues are logged and information is shared with your direct manager
  • Cooperation with cleaning and technical services and other if needed
  • Acting proactively and ensuring general office space is tidy and presentable at all times through regular audits and inspections
  • Assist with coordinating logistics for internal events, if required
  • Support reception staff during absences

Qualifications

  • Experience in a similar position (reception/administration/facility management or related)
  • Communicative level of English language
  • Knowledge of MS Office applications
  • Ability to use office equipment
