Job Description

The Inventory Coordinator will manage medical supplies in a supply chain storeroom, handling receiving, inventory, requisitions, forecasting, and supplier relations. This long-term contract role involves maintaining inventory standards, monitoring product usage, resolving invoice and backorder issues, and enhancing the Cycle Count Program. The coordinator will work independently, collaborating with department managers, clinicians, and physicians to ensure an efficient, cost-effective supply chain system.
Good To Have:
  • 2+ years healthcare procedural area experience.
  • 2+ years OR Tech or Surgical Tech experience.
  • Knowledge of related Healthcare regulatory requirements.
Must Have:
  • Oversee storeroom inventories, including stock rotation and expiration date management.
  • Check packing slips ensuring accurate deliveries and notify buyer/vendor of discrepancies.
  • Coordinate special supply, equipment, and instrument needs for upcoming procedures.
  • Establish inventory standards based on past utilization, caseload, census, and budgetary constraints.
  • Monitor product usage through available system optimization reports.
  • Enforce neat and orderly storage and control of inventory at all times.
  • Implement and maintain ordering system for backordered items; research inventory issues with Vendors/Purchasing.
  • Communicate status of items to appropriate department personnel.
  • Manage the disposition of equipment and supply recall notices.
  • Leverage technology for storeroom logistics functions.
  • Report device failures to manufacture for further investigation.
  • Oversee and enhance cycle count program and year-end inventories.
  • Work within department to promote an efficient, cost effective Supply Chain system.
  • Work closely with Purchasing and Accounts Payable to resolve invoice issues.
  • Assist in affiliate cost containment by ensuring adequate inventory turns, minimizing obsolete inventory and product expirations.
  • Maintain and develop knowledge and expertise in assigned area of responsibility.
  • Maintain knowledge of what is being ordered and its intended use.
  • Keep abreast of current O.S.H.A guidelines.
  • Keep current on related issues associated with Title 22, Joint Commission and/or AAAHC requirements.
  • Establish a clean, neat, and safe working environment.
  • Participate in quality/safety activities, as required.
  • HS Diploma or equivalent education/experience.
  • 2+ years healthcare Supply Chain experience.
  • Aptitude in math and computer operation.
  • Ability to produce accurate work results within established timeframes.
  • Ability to work independently with minimal guidance and direction.
  • Abide by the department's policy on Conflict of Interest.

Inventory Coordinator

Our client is seeking a Inventory Coordinator for a long-term contract. The Inventory Coordinator will be responsible for stocking and storing medical supplies primarily in the supply chain storeroom. Activities include, but not limited to, receiving, inventory management, supply and equipment requisitions, forecasting, supplier relations, product conversions, billing support, vendor returns, invoice resolution, back order resolution, de-casing and stocking supplies. Works mostly independently and in conjunction with department manager/director, clinicians and physicians to promote an efficient, cost effective Supply Chain system that meets the short and long term goals of Supply Chain and clinical departments. Provides expertise and assistance for all clinical and non-clinical equipment and supplies including coordinating product trials and monitoring contract compliance. Is instrumental in maintaining and enhancing the Cycle Count Program and annual inventory processes.

JOB ACCOUNTABILITIES

INVENTORY CONTROL

  • Oversees storeroom inventories.
  • Rotates stock, manages expiration dates, de-cases supplies, stocks shelves and arranges for product returns when necessary.
  • Checks packing slips ensuring accurate deliveries. Notifies buyer/vendor of any discrepancies.
  • Coordinates special supply, equipment and instrument needs for upcoming procedures.
  • Establishes inventory standards, based on past utilization, case load, census and budgetary constraints.
  • Monitors product usage through available system optimization reports.
  • Enforces neat and orderly storage and control of inventory at all times.
  • Implements and maintains ordering system for backordered items; researches inventory issues with Vendors/Purchasing to ensure appropriate item substitution when necessary.
  • Communicates status of items to appropriate department personnel.
  • Manages the disposition of equipment and supply recall notices.
  • Leverages technology for storeroom logistics functions.
  • Reports device failures to manufacture for further investigation.
  • Oversees and enhances cycle count program and year-end inventories.

FINANCIAL

  • Works within department to promote an efficient, cost effective Supply Chain system that meets the short and long term goals of the affiliates.
  • Works closely with Purchasing and Accounts Payable to resolve invoice issues.
  • Assists in affiliate cost containment by ensuring adequate inventory turns, minimizing obsolete inventory and product expirations and reducing overall inventory values.

COMPLIANCE

  • Maintains and develops knowledge and expertise in assigned area of responsibility
  • Maintains knowledge of what is being ordered and its intended use.
  • Keeps abreast of current O.S.H.A guidelines.
  • Keeps current on related issues associated with Title 22, Joint Commission and/or AAAHC requirements.

EDUCATION

  • HS Diploma or equivalent education/experience
  • 2+ years healthcare Supply Chain experience.
  • 2+ years healthcare procedural area experience
  • 2+ years oR Tech or Surgical Tech experience
  • Knowledge of related Healthcare regulatory requirements preferred.
  • Routine work requiring problem-solving capability and paying close attention to detail.
  • Must possess aptitude in math and computer operation.
  • Must have the skills to produce accurate work results within established timeframes.
  • Must have the ability to work independently with minimal guidance and direction.
  • Must abide by the department's policy on Conflict of Interest.
