About the team and the role:
The Business Operations Support Specialist will be responsible for providing administrative and operational support across multiple functions within Marketing Operations in the US, with EU support as needed. This role will focus on contract management, financial operations, vendor onboarding, partner coordination, and general process support to ensure flawless operations within the organization.

What you will accomplish:
- Manage the comprehensive accuracy and tracking of US spend within the Global Marketing budget.
- Support Global/EU Global Marketing and/or Growth budget as needed.
- Implement large-scale purchase order (PO) creation, invoicing, tracking, and quarter-end reconciliations.
- Coordinate with finance partners to ensure budget accuracy and forecast and accrual alignment.
- Vendor management including onboarding, inquiries related to invoices, contracts and POs, as well as regular budget tracking check-ins with high volume vendors.
- Liaise with Marketing Project Leads, Legal, Contracts Admin, Third Party Risk Management, Information Security, Data Privacy, Responsible AI, Global Procurement, Controllership, Procurement Operations, and Tax Teams, ensuring compliance across all agreements and expenses.
- Implement end-to-end contract submission and routing process.
- Track and update budget documents, external trackers, and procurement systems.
- Keep Marketing Project Leads apprised of contract, PO, and/or budget status.
- Timely responses to cross-functional team inquiries.
- Assist in reviewing contracts, including follow-ups in Icertis and Aravo.
- Coordinate supplier payment troubleshooting and new vendor onboarding to ensure timely processing.
- Maintain accuracy of multiple tracking documents, including department SOW trackers.
- Assist with production oversight and logistics.
- Participate in global finance meetings and procurement syncs.
- Facilitate quarterly and annual contract and budget reconciliations.
- Assist with change management initiatives and organizational updates and supporting ways of working changes.
What you will bring:
- Experience: 2-4 years in an operational, finance, or administrative support role.
- Technical Skills: Proficiency in Google Workspace suite.
- Communication: Strong interpersonal and collaborator management skills. Confident presenter and comfortable building presentations.
- Meticulous: Ability to track and manage multiple financial and contract-related tasks.
- Problem-Solving: Experience troubleshooting payments and vendor issues..
Preferred:
- Previous experience in marketing operations.
- Experience with large corporations and/or agency account management.
- Willingness to travel occasionally and be accommodating of Pacific Time Zone hours with occasional European timezone needs.
The base pay range for this position is expected in the range below:
$75,200 - $129,800
Base pay offered may vary depending on multiple individualized factors, including location, skills, and experience. The total compensation package for this position may also include other elements, including a target bonus and restricted stock units (as applicable) in addition to a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as PTO and parental leave).
