Job Description

AppLovin is seeking a highly motivated Office Coordinator for its Palo Alto, CA HQ. This 100% in-office role involves being the first point of contact for guests, vendors, and candidates, providing general assistance, and delivering exceptional customer service. The coordinator will manage office supplies, oversee the guest management system, handle inquiries, schedule meetings, maintain security, manage mail, assist with administrative tasks, coordinate vendor perks, facilitate onsite events, and support the Facilities team with food and beverage programs, moves, and new hire setups. The ideal candidate has 1-2 years of administrative support or customer service experience in a fast-paced environment.

  • Be the face of the headquarter office in Palo Alto.
  • Provide excellent service by greeting guests, candidates, and visitors.
  • Oversee the guest management system for all guests to sign in.

  • Serve as the primary point of contact for employee office-related inquiries.
  • Manage office supplies, janitorial inventory and place orders.
  • Ensure Business Centers and lobbies are tidy and stocked.
  • Schedule appointments and meetings, manage conference room reservations.
  • Maintain office security, control access, manage badge distribution.
  • Manage incoming and outgoing mail and packages.
  • Assist with administrative tasks like data entry, filing, photocopying, scanning.
  • Identify and coordinate with vendors for in-office perks.
  • Help coordinate and facilitate onsite events.
  • Assist Facilities for food and beverage program.
  • Assist Facilities with move, adds, and changes (MAC).
  • Assist with setting up workspaces for new hires.
  • Assist the Facilities team with special projects.
  • 1-2 years administrative support or customer service experience.
  • Excellent verbal and written communication skills.
  • Strong aptitude for staying focused and organized in a fast-paced environment.
  • Superior multi-tasking and time-management abilities.
  • Excellent computer skills including Windows, Microsoft Office, Google Applications, JIRA, and Slack.

Introduction:

AppLovin is searching for a highly motivated Office Coordinator with experience in administrative support. The Office Coordinator will act as the first point of contact for all guests, vendors, and candidates, provide general assistance to visitors and internal employees, have an onsite presence, and deliver exceptional customer service with enthusiasm. This person will be an intricate part of the AppLovin day to day. The ideal candidate has experience working in a fast-paced, dynamic environment and supporting the needs of employees. This role is based in our HQ and is a 100% in-office role.

General Responsibilities:

  • Be the face of the headquarter office in Palo Alto.
  • Provide excellent service by greeting guests, candidates, and visitors to ensure they have a stunning lobby experience.
  • Oversee the guest management system for all guests to sign in.
  • Handle inquiries and provide accurate information or direct queries to the appropriate person or department.
  • Serve as the primary point of contact for employee office-related inquiries and ensure requests are addressed promptly
  • Manage office supplies, janitorial inventory and place orders as needed.
  • Ensure the Business Centers and lobbies are tidy and stocked with necessary supplies
  • Schedule appointments and meetings, and manage conference room reservations.
  • Maintain office security by following safety procedures and controlling access via the reception desk. Manage distribution of access badges for new and current employees.
  • Manage incoming and outgoing mail and packages, including sorting, distributing, and preparing outgoing mail.
  • Assist with administrative tasks such as data entry, filing, photocopying, and scanning documents.
  • Identify and coordinate with vendors for in-office perks
  • Help coordinate and facilitate onsite events such as happy hours, onsite meetings, and other events as needed.
  • Assist Facilities for our food and beverage program
  • Assist Facilities with move, adds, and changes (MAC)
  • Assist with setting up workspaces for new hires
  • Assist the Facilities team with special projects as needed.

Requirements

  • 1-2 years administrative support or customer service experience

AppLovin provides a competitive total compensation package with a pay for performance rewards approach. Total compensation at AppLovin is based on a number of factors including market location and may vary depending on job-related knowledge, skills, and experience. Depending on the position offered, equity, and other forms of incentive compensation (as applicable) may be provided as part of a total compensation package, in addition to dental, vision, and other benefits.

CA Base Pay Range

$28.37 - $42.79 USD
