The ideal candidate will be a strong leader with experience in healthcare administration, staff supervision, and patient service coordination. This role is critical to maintaining a smooth, efficient, and patient-focused environment. Key responsibilities include managing daily office operations, supervising staff, coordinating schedules, ensuring compliance with regulations, managing finances, ordering supplies, implementing policies, training staff, handling patient inquiries, and preparing reports.
Must have:

We are seeking a highly organized and detail-oriented Office Manager to oversee the daily administrative operations of our busy medical practice. The ideal candidate will be a strong leader with experience in healthcare administration, staff supervision, and patient service coordination. This role is critical to maintaining a smooth, efficient, and patient-focused environment.

Key Responsibilities:

  • Oversee and manage daily office operations, including front desk, billing, scheduling, and medical records functions

  • Supervise and support administrative and clinical staff to ensure smooth workflow and high-quality patient service

  • Coordinate physician schedules, patient appointments, and follow-ups to maximize efficiency and minimize wait times

  • Ensure compliance with HIPAA regulations, OSHA standards, and other applicable healthcare laws and policies

  • Manage office finances including budgeting, payroll coordination, accounts payable/receivable, and petty cash

  • Maintain and order office and medical supplies; liaise with vendors and service providers

  • Implement and enforce office policies, procedures, and staff protocols

  • Train and onboard new administrative staff; provide regular performance feedback and conduct evaluations

  • Handle patient inquiries, complaints, and concerns with professionalism and discretion

  • Prepare operational reports for physicians and practice leadership as needed

Qualifications:

  • Bachelor’s degree in Healthcare Administration, Business Administration, or related field (preferred)

  • 3+ years of experience in a medical office or healthcare setting, with at least 1+ year in a supervisory role

  • Strong knowledge of medical terminology, insurance billing practices, and electronic health records (EHR) systems

  • Proficiency in medical office software (e.g., Epic, Athenahealth, eClinicalWorks, or similar)

  • Excellent communication, leadership, and organizational skills

  • Ability to multi-task, prioritize, and remain calm under pressure

  • Knowledge of regulatory compliance (HIPAA, OSHA, CMS)

Preferred Certifications (Optional):

  • Certified Medical Office Manager (CMOM)

  • Certified Physician Practice Manager (CPPM)
