Job Description

As an Audio Services Production Assistant, you will be responsible for the follow-up and smooth administrative running of the sound production of multimedia projects. You will collaborate with the management, the internal audio production team, the sales department, other SIDE Global sites, and customers around the world. You will also be responsible for coordinating dialogue needs, working with unions, artists, voice directors, talent agencies, and localization teams. This involves managing the complete cycle of each project, from client requirements to successful project delivery, ensuring customer satisfaction, managing third parties, and preparing quotes. This role requires excellent communication skills and the ability to work independently and as part of a team.
Must have:
  • Authorized to work in Canada.
  • Experience in project management.
  • Excellent written and verbal communication skills in French and English.
  • Strong knowledge of project management.
Good to have:
  • In-depth knowledge of the gaming industry and/or audio production processes.
  • Experience in broadcasting, advertising or post-production, or in a development or creative agency.
  • Passion for video games.
  • Musical or audio skills.
  • Experience with tools such as Confluence, Jira, Trello, etc.

Présentation du studio SIDE Montréal (anciennement Vibe Avenue) est un studio de création et d’innovation audio spécialisé en jeux vidéo et médias interactifs. En 2023, Vibe Avenue est devenu SIDE Montreal, rejoignant l’équipe de SIDE Global et PTW. Depuis sa fondation en 2013, le studio a collaboré sur plus d’une centaine de projets dont : Star Trek: Fleet Command, Dungeons and Dragons: Dark Alliance, Speed Brawl, Tribes of Midgard, CONVERGENCE: A League of Legends Story, My Little Pony et Ultimate Chicken Horse. Le studio est situé sur la rue Wellington, en plein cœur de Verdun, à proximité du métro De l’Église. Plusieurs restaurants et commerces se trouvent à proximité du studio, en plus du magnifique fleuve Saint-Laurent, idéal pour prendre une pause soleil! Description de l’emploi En tant que Assistant.e de production en services audio, vous serez responsable du suivi et du bon déroulement administratif de la production sonore de projets multimédia, en étroite collaboration avec notamment la direction, l’équipe interne production audio, le service des ventes, les autres sites de SIDE Global et les clients du monde entier. De plus, vous serez responsable de coordonner les besoins en dialogues, travaillant entre autres avec les syndicats, artistes, directeurs vocaux, agences de talent et équipes de localisation. Liste des responsabilités Tâches générales : ●      Responsable du cycle complet de chaque projet : des exigences du client à la définition d'un budget et d'un calendrier, en passant par la livraison réussie du projet aux jalons convenus et aux niveaux de qualité requis. ●      Axé sur les solutions et évaluation des besoins pour faire évoluer/adapter les plans de production et les délais en fonction du projet. ●      Interaction quotidienne avec les clients et gestion de la relation client sur les projets relevant de votre responsabilité. ●      Assurer la satisfaction des besoins du client ou rationaliser toute réticence de manière claire et décisive. ●      Responsable de la gestion des tiers, y compris la négociation des honoraires liés à vos projets, y compris les pigistes, les fournisseurs externes et autres lignes de services PTW. ●      Préparer des devis initiaux basés sur le briefing préliminaire du client, puis communiquer efficacement les variations de coûts et les changements tout au long du projet à toutes les parties prenantes ; Gérer toutes les questions et problèmes qui surviennent. ●      Assumer la responsabilité de veiller à ce que toute l'administration nécessaire soit complétée avec précision sur un projet sans nécessiter de rappel externe. ●      Communiquer tout problème ou toute question à son supérieur hiérarchique ou à la direction en temps opportun. ●      Définir et gérer la livraison globale des projets, avec la responsabilité de l'allocation et de la gestion efficace de tous les projets - travailler avec plusieurs départements. ●      Offrir du support à l’équipe de direction au besoin. ●      Toute autre tâche pertinente à l’emploi. Tâches spécifiques à la voix off : ●      Casting. Rédiger les briefs d'audition, les distribuer sur les plateformes, les listes internes et les agences, récupérer et organiser les documents, suivre les normes, faire le suivi avec les clients. ●      Veiller à ce que les informations soient correctement gérées et transmises et coordonner les discussions entre toutes les parties impliquées dans la production d'un projet de voix off (Client, SIDE, Agents, Syndicat, etc.). ●      Coordonner les dates d'enregistrement avec toutes les parties impliquées. ●      Aider à la préparation des scripts d'enregistrement pour les acteurs, les réalisateurs et les ingénieurs studio, ainsi que tout autre élément essentiel nécessaire au bon déroulement des sessions d'enregistrement. ●      Suivre l'avancement des sessions d'enregistrement et ajuster les horaires des acteurs et des réalisateurs en conséquence. ●      Travailler avec les équipes de localisation, d’Assurance qualité, technique et d'intégration. Gérer les mises à jour et les changements de scripts ainsi que les envois d'actifs tout au long de la production. Suivre l'avancement des livrables audio finaux en collaborant avec l'équipe de post-production. Remplir la documentation et les contrats nécessaires à la production de la voix off et veiller au traitement des paiements par l'équipe comptable. Connaissances, expérience et compétences ●      Doit être autorisé à travailler au Canada. ●      Apprentissage rapide. ●      Avoir un sens aigu du service client et être naturellement positif. ●      Expérience dans un rôle nécessitant un ensemble de compétences en gestion de projet similaire. ●      Solide connaissance de la gestion de projet - orienté processus mais capable de s'adapter facilement à une entreprise en croissance avec des processus évolutifs. ●      Capacité à travailler de manière indépendante ainsi qu'en équipe, être responsable et prendre en charge le travail effectué. ●      Capacité à gérer plusieurs échéances, plusieurs comptes, plusieurs parties prenantes et à prioriser le travail en conséquence. ●      Excellentes compétences en communication verbale et écrite en français et en anglais, ainsi que des compétences en gestion de la relation client. ●      Connaissance et utilisation expérimentées de Microsoft Office, Microsoft Excel ou Google Sheets, idéalement à l'aise avec l'utilisation de formules telles que SUMIFS et COUNTIFS pour produire des statistiques liées aux scripts de dialogue. Job Description As an Audio Services Production Assistant, you will be responsible for the follow-up and smooth administrative running of the sound production of multimedia projects, in close collaboration with the management, the internal audio production team, the sales department, other SIDE Global sites and customers around the world. In addition, you will be responsible for coordinating dialogue needs, working with unions, artists, voice directors, talent agencies and localization teams, among others. List of responsibilities General tasks: ●      Responsible for the complete cycle of each project: from the client's requirements, to the definition of a budget and schedule, to the successful delivery of the project to the agreed milestones and required quality levels. ●      Solution-oriented and needs assessment to evolve/adapt production plans and timelines based on the project. ●      Daily interaction with customers and customer relationship management on projects under your responsibility. ●      Ensure that the customer's needs are met or rationalize any reluctance in a clear and decisive way. ●      Responsible for managing third parties, including negotiating fees related to your projects, including freelancers, external vendors, and other PTW service lines. ●      Prepare initial quotes based on the client's preliminary briefing and then effectively communicate cost variations and changes throughout the project to all stakeholders; Manage all questions and issues that arise. ●      Take responsibility for ensuring that all necessary administration is completed accurately on a project without the need for an external callback. ●      Communicate any issues or questions to their supervisor or management in a timely manner. ●      Define and manage the overall delivery of projects, with responsibility for the allocation and effective management of all projects – working with multiple departments. ●      Provide support to the management team as required. ●      Any other duties relevant to the job. Tasks specific to the voice-over: ●      Casting. Write audition briefs, distribute them on platforms, internal lists, and agencies, retrieve and organize documents, follow standards, follow up with clients. ●      Ensure that information is properly managed and transmitted and coordinate discussions between all parties involved in the production of a voice-over project (Client, SIDE, Agents, Union, etc.). ●      Coordinate registration dates with all parties involved. ●      Assist in the preparation of recording scripts for actors, directors, and studio engineers, as well as any other essential elements necessary for the smooth running of recording sessions. ●      Track the progress of recording sessions and adjust the schedules of actors and directors accordingly. ●      Work with localization, QA, technical and integration teams. Manage updates and script changes as well as asset submissions throughout production. Track the progress of final audio deliverables by collaborating with the post-production team. Fill out the documentation and contracts necessary for the production of the voice-over and ensure that payments are processed by the accounting team. Knowledge, experience and skills ●      Must be authorized to work in Canada. ●      Rapid learning. ●      Have a strong sense of customer service and be naturally positive. ●      Experience in a role requiring a similar set of project management skills. ●      Strong knowledge of project management – process-oriented but able to adapt easily to a growing business with scalable processes. ●      Ability to work independently as well as in a team, be responsible and take charge of the work done. ●      Ability to manage multiple deadlines, multiple accounts, multiple stakeholders and prioritize work accordingly. ●      Excellent verbal and written communication skills in French and English, as well as customer relationship management skills. ●      Experienced knowledge and use of Microsoft Office, Microsoft Excel or Google Sheets, ideally comfortable with the use of formulas such as SUMIFS and COUNTIFS to produce statistics related to dialog scripts.
