Job Summary

The Senior Administration & Workplace Specialist will take ownership of office functionality and feel across Warsaw HQ and coworking spaces in Kraków and Wrocław. This role involves coordinating office services, managing renovation projects, handling procurement, liaising with internal teams, overseeing canteen operations, processing invoices, administering work phones, and supervising operations in other working areas. The goal is to create an office environment that supports focus, comfort, and collaboration, ensuring smooth daily operations.

Must Have

  • Coordinate office services (cleaning, coffee, water, technical support), including sourcing suppliers, negotiating contracts, and overseeing delivery.
  • Manage renovation projects and space planning, working with architects and recommending tailored office solutions.
  • Handle procurement for supplies and furniture, from initial research to price negotiation and delivery.
  • Liaise with internal teams to understand workspace needs and ensure a high-quality experience.
  • Oversee canteen operations, from contracts to service improvements.
  • Process invoices and track business expenses.
  • Administer work phones, numbers, roaming, and devices in collaboration with the network provider.
  • Manage internal ticketing system, assign tasks and follow up on delivery.
  • Supervise operations in Kraków and Wrocław working areas, including vendor management and space usability.
  • Minimum 5 years of experience in office administration or workplace operations.
  • Proven problem-solving and planning abilities.
  • Ability to identify and implement improvements that align with team needs and industry practices.
  • Confidence in sharing knowledge and collaborating with cross-functional teams.
  • Proficiency in both Polish and English (spoken and written).
  • Willingness to work primarily on-site in Warsaw; occasional travel to Kraków and Wrocław may be required.

Good to Have

  • Familiarity with architectural plans and tools like AutoCAD.
  • Experience in interior design or space optimization.

We manage our Warsaw HQ and coworking spaces in Kraków and Wrocław. Our goal? To create an office environment that supports focus, comfort, and collaboration—while also making everyday things just work smoothly.
