Job Description

This full-time, hybrid Supply Chain Administrative Assistant role in Olathe, KS, involves providing essential support to the department through excellent customer service and key administrative tasks. The position requires assisting with purchase and transfer orders, entering supplier confirmations, expediting orders, and performing updates. Responsibilities also include creating reports and presentations, maintaining work instructions, and tracking data for inventory analysts and managers. The ideal candidate will be team-oriented, possess strong organizational and communication skills, and be proficient in Google Suite and Microsoft Office.
Must have:
  • Place purchase and transfer orders
  • Enter supplier order confirmations
  • Expedite or de-expedite orders
  • Update purchase orders after shipment
  • Review order and overdue dates
  • Identify alternate suppliers from backorder reports
  • Create end-of-month reports
  • Track backorders, inventory, and overdue dates
  • Create and prepare reports and presentations for meetings
  • Create, revise, and maintain work instructions, reports, and spreadsheets
  • Seek additional tasks to maximize efficiency
  • Collaborate to achieve departmental goals

Supply Chain Administrative Assistant

YOUR ROLE AND RESPONSIBILITIES

Provides support to the department through excellent customer service and performance of key administrative tasks.

  • Assist with department specific needs including:
  • Placing of Purchase orders and Transfer orders from Inventory Analyst, Product & Procurement Specialist and/or Managers
  • Enter order confirmations from suppliers into the system
  • Expedite or De-Expedite orders
  • Perform updates on purchase orders once order has shipped
  • Review of order dates and overdue dates
  • Work backorder reports to identify alternate suppliers for purchase orders
  • Create end of month reports
  • Track data for Inventory Analyst, Product & Procurement Specialist and/or Managers including backorders, inventory, and/or overdue dates
  • Assist in the creation of reports and presentations, create and prepare materials and presentations for departmental meetings and monthly reports
  • Assist with creation, revisions, and maintenance of work instructions, reports and spreadsheets
  • Seek out additional opportunities, tasks and assignments from Manager to maximum time and team efficiency
  • Work collaboratively in a team environment to learn about and strive to achieve departmental sales goals and balanced scorecard objectives
  • Understand TVH’s Mission, Vision, Values, and culture
  • Performs other duties as assigned by Manager

  • High School Diploma or GED required
  • Demonstrates intermediate proficiency using Google Mail, Sheets, Docs, and Calendar
  • Demonstrates intermediate proficiency in Microsoft Word and Excel
  • Demonstrates effective verbal, written and interpersonal communication skills with a proven ability to communicate effectively across all levels of the organization
  • Demonstrates effective organizational, time management and follow up skills
  • Demonstrates ability to effectively manage and prioritize multiple tasks
  • Must be team oriented, possess a positive attitude and collaborate effectively with others to achieve goals in a fast-paced, deadline driven environment
