Our client is seeking an Administrative Assistant II for a contract opportunity. The Administrative Assistant II provides a variety of professional clerical and administrative support to the Director of Pharmacy Services and the pharmacy department. This role ensures smooth departmental operations by managing timekeeping, staff orientation, and competency tracking while handling confidential information with discretion. The position is critical to maintaining efficiency and compliance during a staff member’s extended leave of absence.
Key Responsibilities
- Provide direct administrative support to the Director of Pharmacy Services and department leadership.
- Manage and process all departmental timekeeping duties accurately and on schedule.
- Coordinate onboarding and orientation activities for new staff members.
- Track training and competency records for all pharmacy staff, ensuring compliance with regulatory and organizational requirements.
- Organize and maintain files, records, and documentation in accordance with established guidelines.
- Prepare, edit, and distribute correspondence, reports, and department-wide communications.
- Serve as a point of contact for internal and external stakeholders, ensuring timely follow-up and prioritization of requests.
- Handle confidential and sensitive information with discretion.
- Support special projects and department-wide initiatives as assigned.
Minimum Qualifications
- High School diploma or equivalent required; Associate’s degree preferred.
- Minimum 2 years of administrative support experience, preferably in a healthcare or pharmacy setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to quickly learn department-specific systems.
- Strong organizational and time management skills with attention to detail.
- Ability to prioritize multiple tasks and work independently with minimal supervision.
- Excellent written and verbal communication skills.
- Demonstrated ability to maintain confidentiality and handle sensitive information appropriately.
- Prior experience supporting a healthcare department or director-level leader.
- Familiarity with timekeeping, staff orientation, and competency tracking processes.
- Knowledge of Workday or similar HRIS/timekeeping systems.
