Job Description

This position provides high-level administrative support to senior leadership within the Central CAD & Design Services (CCDS) and Physical Design (PD) organizations. The role is essential to ensuring operational efficiency and strategic alignment in a fast-paced, high-impact environment. Responsibilities include calendar management, meeting coordination, logistical planning, travel arrangements, expense reports, and supporting special projects. The role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks.
Good To Have:
  • Bachelor’s degree in Business Administration, Human Resources, Marketing, Communications, or a related field
Must Have:
  • Provide high-level administrative support to executive leadership
  • Schedule and coordinate meetings across multiple time zones and organizational levels
  • Organize complex domestic and international travel arrangements
  • Prepare and submit accurate and timely expense reports
  • Support special projects by conducting research, compiling data, and preparing reports and presentations
  • Assist with planning and execution of departmental events, quarterly meetings, and employee recognition programs
  • Serve as a liaison between executives and internal/external stakeholders
  • Demonstrate excellent organizational skills, acute attention to detail, and the ability to manage multiple tasks
  • 5-8 years of administrative and business support experience, with a strong emphasis on executive-level support, calendar management, and travel coordination
  • Proven ability to manage sensitive and confidential information with integrity and discretion
  • Strong written and verbal communication skills, with a high level of professionalism
  • Demonstrated ability to anticipate needs, adapt to changing priorities, and make well-informed decisions
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Familiarity with collaboration tools (e.g., Teams, Zoom) and finance/purchasing systems
  • Ability to influence, resolve conflicts, and escalate issues appropriately

What You Can Expect

  • Provide high-level administrative support to executive leadership, including calendar management, meeting coordination, and logistical planning.
  • Schedule and coordinate meetings across multiple time zones and organizational levels, including room reservations and catering.
  • Organize complex domestic and international travel arrangements, including handling passport and visa requirements.
  • Prepare and submit accurate and timely expense reports.
  • Support special projects by conducting research, compiling data, and preparing reports and presentations.
  • Assist with planning and execution of departmental events, quarterly meetings, and employee recognition programs.
  • Serve as a liaison between executives and internal/external stakeholders to ensure smooth communication and workflow.
  • Demonstrate excellent organizational skills, acute attention to detail, and the ability to manage multiple tasks in a fast-paced and time-sensitive environment.

What We're Looking For

  • 5-8 years of administrative and business support experience, with a strong emphasis on executive-level support, calendar management, and travel coordination.
  • Proven ability to manage sensitive and confidential information with integrity and discretion.
  • Strong written and verbal communication skills, with a high level of professionalism.
  • Demonstrated ability to anticipate needs, adapt to changing priorities, and make well-informed decisions.

Expected Base Pay Range (USD)

30 - 46, $ per hour.

The successful candidate’s starting base pay will be determined based on job-related skills, experience, qualifications, work location and market conditions. The expected base pay range for this role may be modified based on market conditions.
