Job Description

SBM Management is seeking a self-motivated Administrative Assistant committed to providing outstanding customer service and ensuring a positive experience for callers and visitors. This role supports site management with employee programs and services, managing correspondence, organizing files, handling telephone calls, coordinating schedules, arranging travel, conducting research, and preparing reports. Excellent typing, communication, and organizational skills are essential, along with proficiency in MS Office.
Must have:
  • Support site management with employee programs and services.
  • Read and route incoming mail, locate and attach appropriate files.
  • Organize and maintain file system, file correspondence and other records.
  • Answer and screen manager's telephone calls, arrange conference calls.
  • Coordinate manager's schedule and make appointments.
  • Greet scheduled visitors and conduct to appropriate area or person.
  • Arrange and coordinate travel schedules and reservations.
  • Conduct research, compile and type statistical reports.
  • Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities, record and transcribe minutes.
  • Make copies of correspondence or other printed materials.
  • Prepare outgoing mail and correspondence, including e-mail and faxes.
  • Order and maintain supplies, arrange for equipment maintenance.

Qualifications

  • Experience as an administrative professional
  • Proficient in MS Office (Word, Excel, Outlook, PowerPoint)
  • Exceptional customer service skills and phone etiquette
  • Excellent verbal and written communication skills and demonstrated organizational skills with attention to detail required
  • Must be fluent in Spanish, must be able to speak, read and write in Spanish
