Job Description

The Contracting Excellence Specialist leads complex quote and contract coordination throughout the sales lifecycle, ensuring compliance and driving process improvement. This role involves collaborating with the North American Sales team to manage quoting and contracting, negotiating agreements, and working with the Legal team to foster contracting excellence. Key responsibilities include preparing quotes, managing customer accounts, ensuring data collection, and administering GPO/IDN/Government contracts.
Good To Have:

Must Have:
  • Partner with the Field Sales team for quote and contract document preparation, including price verification and alignment to agreements.
  • Responsible for accurate and timely customer account creation, maintenance, reporting, SFDC/SAP support, and sales-related coordination processes.
  • Ensure data collection of taxes, freight, previous agreement carry-over, and trade-in values in the quoting process.
  • Confirm GPO/IDN/Government contract administration, including membership alignment/validation for correct pricing strategy.
  • Partner with the sales team on expired local contracts: generate renewal quotes, amendments, or assist with equipment retrieval and contract close-out.
  • Ensure all required documentation is received before advancing equipment contracts for order processing for the assigned region.
  • Review all quote and contract business terms, including customer PO documents, to ensure execution and perform audits.
  • Initiate action by monitoring CPQ queue for all new documents awaiting processing/approval daily.
  • Manage the end-to-end process from order entry to installation and revenue recognition of installed equipment in CRM.
  • Research and resolve all reagent billing blocks within 24 hours and create billing plans for rentals and equipment leases in SAP.
  • Coordinate with the supply chain to manage items on open orders (obsolescence, replacement materials).
  • Coordinate with FS Admin to dispatch work orders.
  • Communicate backordered items to FSE.
  • Assist with internal and external audits as required.
  • Coordinate with Legal, Finance, and other departments to resolve issues and create accurate amendments.
  • Assist with management of Salesforce.com CRM, CPQ, and SAP ERP and design/generate reports as needed.
  • Perform all work in compliance with company quality procedures and standards.
  • Associates degree required.
  • 4+ years of sales administration, customer service, sales support or related experience.
  • Proficient with Microsoft Office Suite and experience with ERP/SAP/CRM/SFDC systems and related tools.
  • Foundational understanding of revenue recognition as they relate to quote/contracts and installation.
  • High attention to detail with strong documentation, planning, and organization skills.
  • Excellent communication skills, both verbal and written.
  • Effective organization, attention to detail and the ability to meet deadlines.
  • Understanding of general accounting principles.
  • Data analysis skills including generating reports, exporting/importing data, and analyzing data.
  • Ability to effectively present information and respond to questions.

Description

The Contracting Excellence Specialist role involves leading complex quote and contract coordination throughout the entire sales lifecycle process, ensuring compliance, and driving process improvement measured by defined metrics and KPI’s. This will be accomplished by collaborating directly with the North American Sales team to manage the quote and contracting process to negotiate/renegotiate contracts with customers. This role will influence and educate key stakeholders and collaborate with the Legal team to foster a culture of excellence in contracting practices.

Primary Responsibilities

1. Partner with the Field Sales team by assisting in the preparation of quotes and contract related documents, including price verification and correct alignment to national, corporate, and/or government negotiated agreements.

2. Responsible for accurate and timely customer account creation, account maintenance, reporting, SFDC/SAP support, vendor registration and/or any sales related coordination processes (quotes/contracts/invoices/warranties), including pricing strategy and maintenance.

3. Ensure data collection of taxes, freight, previous agreement carry-over, trade-in values are all included in the quoting process.

4. Confirm GPO/IDN/Government contract administration including membership alignment/validation for correct pricing strategy.

5. Partner with the sales team with expired local contracts: generate renewal quotes, amendments, or help retrieve equipment and close out the contract and pricing.

6. Ensure all required documentation is received before advancing equipment contracts for order processing for the assigned region. Monitor contract performance of the assigned region and assist with determining compliance with terms and conditions of the contract.

7. Review all quote and contract business terms including customer PO documents to ensure quote/contract execution and perform audits to ensure every quote/contract is entered correctly.

8. Initiate action by monitoring CPQ queue for all new documents awaiting processing/approval daily. Ensure agreements in CPQ are completed accurately/timely according to SOP guidelines (turnaround time, pricing guidelines, etc.).

9. Manage the end-to-end process from order entry to installation and revenue recognition of installed equipment in CRM. Specifically, ensuring accurate and timely invoicing by partner with accounting and coordinate with the install base team for equipment implementation/activation and functional location updates.

10. Research and resolve all reagent billing blocks within 24 hours. Collaborate with the sales team to prevent future billing blocks. Create billing plans for rentals and equipment leases in SAP timely and accurately.

11. Coordinate with the supply chain to manage items on open orders (obsolescence, replacement materials).

12. Coordinate with FS Admin to dispatch work orders.

13. Communicate backordered items to FSE.

14. Assist with internal and external audits as required.

15. Coordinate with Legal, Finance and other departments and stakeholders as needed to resolve issues and create amendments that are accurate and approved through the proper channels.

16. Assist with management of Salesforce.com CRM, CPQ, and SAP ERP and design/generate reports as needed.

17. Perform all work in compliance with company quality procedures and standards.

18. Perform all other duties as assigned.

Education and Experience

  • Associates degree required.
  • Bachelor’s degree in business, Accounting, Marketing, related field preferred
  • 4+ years of sales administration, customer service, sales support or related experience.
  • Experience in project and/or process improvement/management is a plus.
  • Previous experience within life sciences field preferred

Knowledge, Skills, Abilities

  • Must be proficient with Microsoft Office Suite and have experience with ERP/SAP/CRM/SFDC systems and related quoting, contracting, and business management tools.
  • Foundational understanding of revenue recognition as they relate to quote/contracts and installation.

Working Conditions and Physical Requirements

  • Ability to remain in stationary position, often standing, for prolonged periods.

  • Domestic travel required 5% of time.
  • May be asked to lift and move boxes weighing 50 lbs. or less.
