The Office and Car Fleet Coordinator position is a fixed-term maternity cover role responsible for overseeing office operations and car fleet administration, ensuring compliance with procedures and supporting site management.

  • Maintaining cleanliness and organization of office space.
  • Taking care of employee and guest comfort.
  • Creating and managing the administrative budget.
  • Monitoring costs related to business trips and delegations.
  • Settling business travel expenses.
  • Making restaurant reservations for business meetings.
  • Supporting calendar and schedule planning.
  • Performing various administrative tasks.

Job purpose The Office and Care Fleet Coordinator position is responsible for overseeing the effective coordination of office operations and the overall administration of the car fleet processing. This position is a fixed term maternity cover role to support the business in ensuring compliance with all relevant administrative and fleet management procedures while supporting the management of the site.

KEY RESPONSIBILITIES

Key Responsibilities

Office Management

  • Organizing the day-to-day operations of the office.
  • Ensuring efficient administrative and logistical support.
  • Coordinating documentation processes including archiving, copying, scanning, and handling correspondence.
  • Managing office supplies and equipment inventory.
  • Preparing and organizing meetings, conferences, and business trips.
  • Maintaining professional relationships with clients and business partners.
  • Handling phone and email inquiries and ensuring proper information flow.
  • Coordinating contracts, meetings, and negotiations with external partners.
  • Organizing corporate events, conferences, and training sessions.
  • Managing all logistical details of events, including catering, venue arrangements, and invitations.
  • Maintaining orderly document management and databases, ensuring easy access to information.
  • Ensuring confidentiality and security of all sensitive documentation.
  • Controlling and verifying invoices and expenses related to office operations.
  • Maintaining cleanliness, order, and efficient organization of office space.
  • Taking care of employee and guest comfort in the workplace.
  • Creating and managing the administrative budget.

Executive Assistant Duties

  • Monitoring costs related to business trips and delegations.
  • Settling business travel expenses.
  • Making restaurant reservations for business meetings.
  • Supporting calendar and schedule planning.
  • Performing various administrative tasks based on current business needs.

Fleet Coordinator Responsibilities

  • Ordering company vehicles in line with internal policies.
  • Managing relationships and communication with vehicle suppliers, leasing companies, and service providers.
  • Overseeing fleet-related documentation.
  • Controlling and verifying vehicle-related invoices.
  • Managing fuel cards and monitoring their usage.
  • Supporting employees using company vehicles.
  • Monitoring due dates for inspections, insurance renewals, and other mandatory services.
  • Coordinating the vehicle return process at the end of lease or contract period.
