We are looking for you as a People Operations & HR Admin Assistant (all genders welcome!) for our dynamic People team as soon as possible in Munich.
The Team
The role reports directly to the People Lead Condé Nast Germany and is part of our local German People Team in Munich, as well as our global People Team, which also includes Talent and People Operations.
Your Responsibilities
- Ensuring and preparing monthly payroll and submitting all relevant data to our payroll provider ADP - Managed Services, as well as checking payslips
- Close collaboration with our payroll provider ADP
- Collaboration and problem-solving – working with internal and external teams and stakeholders to resolve compliance or HR inquiries
- Preparation and assurance of A1 applications via our payroll provider ADP
- In-depth knowledge of absence management (eAU, LFZ, parental leave, maternity protection, employment ban, etc.)
- Support for new employees in Workday and ADP (Onboarding)
- Contact person for all questions regarding vacation, absences, and time tracking
- Data reconciliation between ADP and Workday
- Contact person for German and English-speaking employees regarding all matters related to payroll, vacation, and time tracking
- Creation of references (Haufe Reference Tool)
- Close collaboration with the local team in daily business
- Collaboration with the global and European People Team, especially the global People Operations Team
- Responsibility for defined projects or initiatives as instructed by the People Lead Condé Nast Germany
- Close collaboration with the People Lead Condé Nast Germany
What distinguishes you:
- Previous experience in a People Partner/Assistant role or similar.
- Knowledge of labor law and social security law.
- Attention to detail and a strong sense of responsibility, as well as confidentiality.
- An enthusiastic and proactive attitude.
- Strong ability to build trusting relationships through a professional yet personal approach.
- Excellent written and verbal communication skills in German and English.
- Excellent organizational skills and the ability to self-manage according to team goals.
- Ability to work in a fast-paced, constantly changing environment.
- Proven ability to prioritize and multitask.
- Knowledge of Google Suite, Workday, ADP is an advantage (not decisive).
- A natural ability to solve problems.
- Willingness to get involved and learn.
- Experience in conducting and managing projects.
- Proactive and able to show initiative/ideas to constantly improve our HR service.
