Job Description

Activate is expanding and seeking a Project Coordinator to report to the Director of Future Growth. This role involves assisting with national/international projects and existing store retrofits. The ideal candidate will have a background in commercial construction, logistics, and project coordination, and will be responsible for day-to-day coordination tasks, scheduling, documentation, team communications, and ensuring timely delivery of materials. They will also coordinate subcontractor onboarding, manage project compliance, track milestones, and prepare reports.
Good To Have:
  • Education or certifications in Project Management is preferred.
  • Basic understanding of architectural and engineering drawings is preferred.
Must Have:
  • Assist Project Manager and Installations Manager with day-to-day coordination tasks.
  • Work closely with purchasing, manufacturing, and distribution teams for timely product and material delivery.
  • Coordinate documentation and logistics to support efficient onboarding of subcontractors.
  • Communicate with landlords to ensure project compliance and track documentation for Tenant Improvement reimbursements.
  • Maintain project checklists and coordinate team activities to ensure milestones are met.
  • Escalate technical issues to appropriate leaders and assist in resolving coordination challenges.
  • Prepare project reports for management, clients, or others as required.
  • Track contractor progress and assist in managing change orders and related documentation.
  • Analyze lease agreements to extract and monitor key project-related details.
  • 2-4 years of experience in construction or project coordination.
  • Strong computer skills including proficiency in Microsoft Project, Excel, and other MS Office products.
  • Strong verbal and written communication skills.
  • Ability to manage several projects at once and excellent multitasking abilities.
  • Ability to work independently and as part of a team.

We are experiencing significant expansion and are looking to expand our team with the addition of a Project Coordinator. Reporting to the Director of Future Growth, the ideal candidate will have a background in commercial construction, logistics, and project coordination. The Project Coordinator will assist with projects being managed on a national/international footprint as well as retrofit projects to upgrade our existing store facilities.

The Duties and Responsibilities:

  • Assist the Project Manager and Installations Manager with day-to-day coordination tasks, including scheduling, documentation, and team communications.
  • Work closely with purchasing, manufacturing, and distribution teams to ensure timely delivery of products and materials to project sites.
  • Coordinate documentation and logistics to support efficient onboarding of subcontractors.
  • Communicate with landlords to ensure project compliance with their requirements and track all necessary documentation to support Tenant Improvement reimbursements.
  • Maintain project checklists and coordinate team activities to ensure milestones are met on schedule and within budget.
  • Escalates technical issues to appropriate leaders and assists in resolving coordination challenges
  • Prepares project reports for management, clients, or others as required.
  • Track contractor progress and assist in managing change orders and related documentation.
  • Analyze lease agreements to extract and monitor key project-related details.

The Qualifications:

  • 2-4 years of experience in construction or project coordination preferred
  • Education or certifications in Project Management is preferred.
