Job Summary
Impact Theory is a mission-driven modern media company creating positive change through entertaining and empowering content, including video games, webcomics, film & TV, YouTube, and podcasts. The Ad Ops Manager will lead the end-to-end execution and optimization of advertising campaigns across these platforms, owning trafficking systems, QA, compliance, and cross-team coordination. This role ensures campaigns launch on time, deliver in full, and meet brand and agency expectations, requiring 3-6 years of experience in advertising operations or digital media.
Must Have
- Lead and optimize podcast and YouTube ad campaigns trafficking workflow.
- Oversee ad copywriting, creative asset intake, and approvals.
- Establish QA standards for ad placement, timing, tracking, and platform compliance.
- Own campaign setup, delivery, and troubleshooting across systems like Megaphone and Flightpath.
- Ensure all scripts, integrations, and paid placements meet FTC and advertiser guidelines.
- Develop and maintain operational frameworks, checklists, and process documentation.
- Oversee reporting systems and internal dashboards for pacing and performance.
- Produce weekly and end-of-campaign reporting with insights and recommendations.
- Monitor delivery pacing and resolve discrepancies proactively.
- Lead monthly billing reconciliation, delivery verification, and advertiser documentation.
- Oversee the health and accuracy of podcast and YouTube content, including metadata.
- Maintain episode databases and ensure alignment with release schedules and ad commitments.
- Act as the primary escalation point for ad operations issues.
- Drive alignment between departments on processes, delivery requirements, and compliance.
- Train internal teams on trafficking standards, SOPs, and advertiser requirements.
- 3-6 years of experience in advertising operations, podcasting, or digital media.
- Proven experience managing complex campaigns across multiple platforms.
- Familiarity with ad platforms such as Megaphone and Flightpath.
- Strong organizational and analytical skills to build and optimize workflows.
- Excellent communication skills for collaborating with internal and external partners.
- High attention to detail with mastery of compliance and quality control.
- Must be based in Los Angeles, CA and able to work full-time, in-office.

Overview
The Ad Ops Manager leads the end-to-end execution and optimization of advertising campaigns across podcasts, YouTube, and digital platforms. This role owns trafficking systems, delivery standards, QA processes, compliance, and cross-team coordination. The manager partners closely with Partnerships, Production, and Finance to ensure campaigns launch on time, deliver in full, and meet brand and agency expectations. Candidates should bring 4–6 years of experience in advertising operations or digital media and be ready to own workflow design, platform oversight, and continuous improvement.
Key Responsibilities
- Ad Campaign Management
- Lead and optimize the trafficking workflow for all podcast and YouTube ad campaigns.
- Oversee ad copywriting needs, talking points, creative asset intake, and approvals across internal teams and external partners.
- Establish QA standards for ad placement, timing, tracking, and platform compliance.
- Own campaign setup, delivery, and troubleshooting across systems such as Megaphone and Flightpath.
- Ensure all scripts, integrations, and paid placements meet FTC, platform, and advertiser guidelines.
- Operations & Reporting
- Develop and maintain operational frameworks, delivery checklists, and process documentation.
- Oversee reporting systems, Monday boards, and internal dashboards used to track pacing, delivery, and performance.
- Produce weekly and end-of-campaign reporting that includes insights, risks, and recommendations.
- Monitor delivery pacing and resolve discrepancies through proactive adjustments with Production and Partnerships.
- Lead monthly billing reconciliation, delivery verification, and advertiser documentation.
- Content & Platform Support
- Oversee the health and accuracy of podcast and YouTube content, including show notes, sponsor links, metadata, and descriptions.
- Maintain episode databases and ensure alignment with release schedules and ad commitments.
- Partner with Production to adjust publishing schedules, ad load, and placements to meet campaign objectives.
- Cross-Functional Leadership
- Act as the primary escalation point for internal teams, agencies, and brand partners on ad operations issues.
- Drive alignment between departments on processes, delivery requirements, and compliance.
- Train internal teams on trafficking standards, delivery SOPs, and advertiser requirements.
Qualifications
- 3-6 years of experience in advertising operations, podcasting, digital media, or related fields.
- Proven experience managing complex campaigns across multiple platforms.
- Familiarity with ad platforms such as Megaphone and Flightpath, or ability to quickly adapt to similar systems.
- Strong organizational and analytical skills, with the ability to build and optimize operational workflows.
- Excellent communication skills for collaborating with internal teams, external agencies, and brand partners.
- High attention to detail with mastery of compliance and quality control.

Compensation range for this role is salaried at $90,000 to $115,000 per year.
