Job Description

Iron Mountain is seeking an Archive Assistant to join their team in Brasília. The role involves researching and verifying documents, treating documentation (cleaning, organizing, registering), and handling incoming and outgoing boxes according to company procedures. The assistant will also be responsible for customer service via phone in some departments, ensuring excellent service to clients.
Must Have:
  • Control the entry and exit of research requests received via email, internal system, or client system.
  • Register and search document data in specific systems or client-provided spreadsheets.
  • Verify and research physical documents, images, or copies from clients based on requests.
  • Forward requested documents to the routing area for delivery and manage returns of divergent documents.
  • Locate document boxes following established procedures or supervisor instructions.
  • Complete daily activity reports (OPLOG form) for individual and department production control.
  • Assist other departments and perform related tasks as requested by the immediate manager.
  • Update necessary control spreadsheets and insert data into internal or client systems.
  • For GAA, OA, Research, and Exclusive Site sectors: attend to clients by phone for document requests and web support.
  • Receive and verify physical documents from clients via shuttle and register receipt in the system.
  • For Organization of Archive (O.A) sector: provide external service at client sites or other company units for document verification, preparation, and organization for storage.

We are looking for an Archive Assistant to join our team! We are looking for a professional who brings enthusiasm and motivation to provide excellent service to our clients. This person will be responsible for researching and checking documents requested or sent to the company. Process documentation, sanitize, organize, register incoming and outgoing boxes according to procedures established by the company. In addition to serving customers by phone in some departments.

RESPONSIBILITIES

Control the entry and exit of research through requests received by emails from clients, internal system or client system;

Register and search document data in a specific system or spreadsheets sent by the client, when they are not complete, according to manager's guidance;

Check and research physical documents, images or copies from clients, according to the requests received;

Forward documents requested by clients to the routing area, so that they can be delivered to the requested location, as well as the return of documents received with discrepancies identified in the system;

Search and locate document boxes, following instructions or address indications (corridors, shelves, levels, etc.) established by current procedures or instructions given by the superior. After research work, return these volumes to the initial location;

Fill out daily activity reports (OPLOG form), according to IMB models and procedures, for evaluation and control of individual and department production;

When there is no work directly related to their function, they may assist other departments and perform related tasks according to the immediate manager's request.

Update spreadsheets with necessary controls, as determined by the client or manager, as well as inserting data into the internal system or the specific client's system;

Exclusive activity of the GAA (Active Archive Guard) sector, Archive Organization (O.A), Research and Exclusive Site (as per contract):

Serve clients by phone for their document requests and provide support whenever requested in their web queries;

Receive and check physical documents received by shuttle from clients and register receipt in the system with confirmation of receipt.

Exclusive activity of the Archive Organization (O.A) sector:

Provide external service to clients or other Company Units, performing the tasks of checking, preparing, organizing documents to be sent for storage, whenever necessary.

REQUIREMENTS

High School complete

Concentrated attention, agility, proactivity, work organization and teamwork.
