Job Summary

Iron Mountain is seeking a motivated Document Management Assistant for its Operations and Processes team. This role involves the movement, verification, and processing of documentary materials and related information, ensuring quality and compliance with operational procedures. The Operations team is crucial for managing client document flow and control, maintaining high service standards. Key responsibilities include document processing, information capture, quality control, and operational management, ensuring proper handling of equipment and adherence to procedures. Candidates need at least 6 months of experience in administrative or data entry roles, strong office software skills, and a commitment to teamwork and customer service.

Must Have

  • Perform movement of documents, boxes, bags, and other documentary items.
  • Verify, prepare, and ready information within process activities.
  • Operate applications for physical or virtual information capture.
  • Perform quality control of processed information.
  • Validate databases against documents.
  • Support documentary management activities in assigned processes.
  • Perform basic document scanning.
  • Execute tasks like loans, returns, re-archiving, coding, and classification.
  • Ensure correct handling of all work elements and equipment.
  • Minimum 6 months of experience in administrative assistant or data entry roles.
  • Solid knowledge of office automation (Microsoft Office and similar).
  • Ability to follow operational procedures.
  • Proven customer service skills.
  • Adaptability, responsibility, and teamwork.
  • Academic or technical high school diploma.

  • Students of technical careers in information systems and/or archiving are valued.

Iron Mountain is looking for a motivated Document Management Assistant to join our Operations and Processes team.

In this role, you will be responsible for the movement, verification, and processing of documentary material and related information, ensuring quality and compliance with operational procedures.

The Operations team is fundamental to ensuring the flow and control of our clients' documentary information, maintaining high standards of service and accuracy.

Responsibilities

  • Document Processing and Movement: Perform the movement of documents, boxes, bags, and other documentary items within the different process activities, including the verification, preparation, and readiness of information.
  • Information Capture and Quality Control: Operate applications for physical or virtual information capture, perform quality control of processed information, and validate databases versus documents.
  • Operational Management and Compliance: Support documentary management activities involved in assigned processes, perform basic document scanning, execute tasks such as loans, returns, re-archiving, coding and classification, and ensure the correct handling of all work elements and equipment.

Skills and Qualifications

  • Relevant Experience: Minimum of 6 months of experience in similar roles such as administrative assistant or data entry clerk.
  • Specific Knowledge: Solid knowledge of office automation (Microsoft Office and similar) and ability to follow operational procedures.
  • Proven Skills: Proven customer service skills, as well as adaptability, responsibility, and teamwork.
  • Educational Requirement: Academic or technical high school diploma (students of technical careers in information systems and/or archiving are valued, though not essential).
