Job Description

Under the direction of the WES OEM Program Manager, this role performs a variety of secretarial and administrative duties to support management and staff of an assigned organization. Responsibilities include adhering to established policies, procedures, systems, guidelines, and objectives, as well as assisting in resolving administrative issues and problems.

  • Apply cost codes, record, and process invoices
  • Compile and submit Impress Account and site paid expenses
  • Track and monitor corporate payment activities
  • Create and update records and databases with personnel, financial, and other data
  • Complete and submit appropriate paperwork for site operations to comply with Alberta Employment standards
  • Assist employees with Disability Claims, Workers Compensation Claims, and Alberta Blue Cross Claims
  • Assist employees with Alberta Blue Cross, Disability, and Manulife applications and questions
  • Complete and oversee site security administration
  • Review and monitor Cell Account activity, hardware, and upgrades
  • Minimum of 2-4 years of related experience
  • Accounting experience including accounts payables and receivables
  • Proficient with a wide variety of office equipment
  • Proficient with computer software applications including word processing, spreadsheets, database, presentation, e-mail, and appointment scheduling software

Job Summary:

Under the direction of the WES OEM Program Manager, performs a variety of secretarial and administrative duties to support management and staff of an assigned organization in accordance with established policies, procedure, systems, guidelines and objectives. Assist in resolving administrative issues and problems.

Essential Job Duties and Responsibilities:

  • Provides secretarial and administrative support at all levels of complexity on behalf of the WES OEM Program Manager in support of On Site Representatives and Staff in accordance with established policies, procedures, system guidelines and objectives.
  • Creates and maintains departmental records and files.
  • Request and maintain office supplies.
  • Assist in resolving administrative issues and problems.
  • Prepare, type and edit a variety of documents using word processing software including correspondences and reports.
  • Attend meetings, record meeting minutes and actions when required.
  • Initiate travel arrangements for Site Manager and staff including supporting staff.
  • Initiate travel expenses and or expense reports in accordance with Concur System and monitor for payments made to individuals.
  • Apply cost codes, record and process invoices through corporate accounts payables.
  • Compile and submit Impress Account and site paid expenses.
  • Track and monitor corporate payment activities along with any other pending maters.
  • Create and update records and databases with personnel, financial and other data.
  • Complete and submit appropriate paper work for our site operations to keep within Alberta Employment standards including permits, overtime and fatigue management plans along with assist the Site Manager with obtaining any guidelines and or established procedures and practices to ensure compliance.
  • Assist employees with Disability Claims, Workers Compensation Claims, and Alberta Blue Cross Claims.
  • Assist employees with any Alberta Blue Cross, Disability, and Manulife applications and questions.
  • Complete and oversee site security administration.
  • Cell Account - review and monitor account activity along with hardware and upgrades.

Minimum Job Requirements:

  • Requires a minimum of 2 - 4 years of related experience.
  • Senior management administrative experience desirable.
  • Advanced office organization and excellent interpersonal skills.
  • Accounting experience required including accounts payables and receivables.
  • Proficient with a wide variety of office equipment.
  • Proficient with computer software applications including word processing, spreadsheets, database, presentation, e-mail and appointment scheduling software.
  • Must be able to exercise tact, diplomacy, discretion and judgment in communications with all levels of employees and outside contacts.
  • Ability to follow written and verbal directions.
  • Ability to solve problems and work independently.
  • Ability to perform secretarial and administrative work requiring a high degree of accuracy.
  • Able to prioritize work, complete multiple tasks and work under deadlines.
  • Ability to work at a computer for extended periods of time.
  • Must demonstrate tactfulness and good interpersonal skills in dealings with others.
  • Excellent oral and written communication skills.

Cubic Pay Range:

$1.00 - $1.00 + benefits.
