Job Description

The Immigration Legal Services Administrator will play a critical role in World Relief Western Washington’s growing Immigration Legal Services (ILS) team. They will be both on the front lines and behind the scenes of the ILS team’s work representing immigrant clients. This position will be instrumental in helping our team utilize technology to establish efficiencies that will help further develop effective services.

Must Have:
  • Supervise others, including monitoring daily work, tracking and approving timesheets, and performance management.
  • Serve as the primary point of contact for all incoming communications to the Immigration Legal Services (ILS) department, including screening and directing phone calls.
  • Schedule and confirm client appointments, ensuring timely reminders and follow-up.
  • Facilitate clear, professional communication between clients, staff, and volunteers.
  • Manage all incoming and outgoing mail for the ILS team.
  • Prepare, maintain, and archive accurate client case files in compliance with confidentiality standards.
  • Process client payments, issue receipts, and track financial transactions.
  • Support timely filing and data entry of government correspondence.
  • Utilize and manage case management and reporting systems, including LawLogix, Square, PirateShip, and Dynamics.
  • Maintain records for client cases, financial activities, and grant reporting.
  • Identify opportunities for improved office efficiency and lead the implementation of approved processes.
  • Plan and oversee special projects as assigned.
  • Recruit, train, and supervise volunteers to support ILS operations.
  • Provide administrative and operational support to ILS team members as needed.
  • Participate actively in team meetings and organizational initiatives.
  • Mature and personal Christian faith, committed to the mission, vision, and values of World Relief.
  • Bachelor's degree or equivalent work experience in law, social services, or a related field.
  • Experience in using technology to increase efficiency and effectiveness of required administrative tasks.
  • Excellent verbal and written communication skills in English.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Proficiency with Microsoft Office Suite.
  • Ability to effectively configure system databases as they relate to case management or proven ability to learn to do so.
  • Highly organized with skills in coordinating and implementing various components of a project.
  • Ability to work both independently with minimum supervision, and in collaboration with others.
  • A desire to serve immigrants and refugees in support of the mission and vision of World Relief.
  • Demonstrated ability to work effectively and respectfully in cross-cultural settings.
  • Desire and ability to work with people of diverse ethnicities, nationalities, religions, cultures and languages.

POSITION SUMMARY:

The Immigration Legal Services Administrator will play a critical role in Western Washington’s growing Immigration Legal Services (ILS) team. They will be both on the front lines and behind the scenes of the ILS team’s work representing immigrant clients. This position will be instrumental in helping our team utilize technology to establish efficiencies that will help further develop effective services.

ROLE & RESPONSIBILITIES:

  • This role is responsible for supervising others and includes responsibilities consistent with supervising employees, including but not limited to monitoring daily work activities, tracking and approving timesheets including approving time off, monitoring performance including entering goals, progress check-ins, and weekly or bi-weekly check-ins, documenting performance concerns, entering staff promotions, transitions, and separations in HRIS within required time frame. Managers are also considered spiritual leaders and are expected to lead staff in a manner consistent with our Christian values, including but not limited to praying with staff, leading devotionals, and fostering a Christian environment in interactions with staff throughout.
