Job Summary
Planned Parenthood Federation of America (PPFA) seeks a Director, Workplace Services to provide strategic and operational leadership for Workplace Services and Facilities Operations at its National Offices. This role ensures effective and efficient functioning of offices, infrastructure, and operational systems, aligning with PPFA’s mission and culture. The Director will oversee planning, innovation, compliance, and service excellence, managing capital projects, vendor contracts, and staff, while fostering a customer service-oriented environment.
Must Have
- Provide strategic and operational leadership for Workplace Services and Facilities Operations.
- Oversee facilities operations, infrastructure, and operational systems.
- Ensure alignment with PPFA’s mission and workplace culture.
- Make strategic decisions on capital projects, renovations, and upgrades.
- Develop and maintain standard operating procedures for Facilities Operations.
- Establish performance metrics and KPIs for organizational operations.
- Oversee workplace ergonomics and lead staff during emergencies.
- Supervise and mentor Associate Directors of Administration & Workplace Services and Facilities Operations.
- Foster a culture of customer service and operational excellence.
- Serve as primary liaison to internal stakeholders and external partners.
- Collaborate with cross-divisional leaders on operational services.
- Manage budgets, contracts, and resources for functional areas.
- Ensure compliance with health, safety, and regulatory standards.
- Bachelor’s degree or equivalent experience.
- 8–10 years of progressive experience in organizational operations, including facilities and administrative management and security.
- Minimum 5 years of supervisory experience.

Planned Parenthood Federation of America (PPFA) and Planned Parenthood Action Fund seek an experienced and dynamic Director, Workplace Services. This job reports to the National Director, Safety, Security, and Workplace Services in the Safety, Security, and Workplace Services division of PPFA. Their leadership will complement other Safety, Security, & Workplace Services leaders, who collectively work to protect and optimize processes for our people, places, guests, and brand.
Purpose:
- The Director, Workplace Services provides strategic and operational leadership over Workplace Services and Facilities Operations at the PPFA National Offices. This position ensures that the organization’s offices, infrastructure, and operational systems function effectively, efficiently, and in alignment with PPFA’s mission and workplace culture.
- The Director will oversee the work of Workplace Services and Facilities Operations, ensuring cohesive planning, innovation, compliance, and service excellence across all operational functions.
- Understand the changing needs of our clients and workplace and create processes and systems to meet those needs.
- Work with leadership to make strategic decisions on capital projects, renovations, and upgrades to facilities.
- Develop and maintain standard operating procedures for the Facilities Operations team.
- Establish performance metrics and key performance indicators (KPIs) to monitor the effectiveness of our organization operations team. Generate regular reports for senior management detailing performance, expenditures, and trends.
- Oversee our workplace ergonomics to include managing assessments and related processes or protocols.
- Lead staff during emergency situations, to include those that may occur after normal business hours.
- Oversee Mail & Print operations and layout to maximize efficiency
- Work closely with the National Director, Enterprise Protection and Organizational Operations on strategic initiatives and manage other duties, as assigned.
Engagement:
- Supervise and mentor the Associate Directors of Administration & Workplace Services and Facilities Operations, building team cohesion and professional growth.
- Foster a culture of customer service, responsiveness, and operational excellence across all functions.
- Serve as the primary liaison to internal stakeholders and external partners on issues related to facilities and administrative services.
- Collaborate with cross-divisional leaders to ensure that operational services are aligned with PPFA’s organizational needs, diversity, equity, and inclusion commitments, and long-term mission.
- Represent Workplace Services in enterprise-wide initiatives, ensuring that operational considerations are embedded in planning and execution.
Delivery:
- Provide leadership, oversight, and strategic direction to the Administration & Workplace Services and Facilities Operations teams.
- Integrate administrative and facilities functions into a unified operations strategy that enhances workplace efficiency, resilience, and staff experience.
- Oversee capital projects, facilities improvements, vendor contracts, mail/print services, and front desk operations across PPFA’s national offices.
- Ensure compliance with health, safety, and regulatory standards, as well as organizational policies.
- Establish performance measures, data-driven reporting, and continuous improvement practices across all operational teams.
- Manage budgets, contracts, and resources for both functional areas.
- Serve as a key partner to the National Director, Enterprise Protection and Organizational Operations and other leaders in strategic planning for organizational operations.
- Anticipate and proactively address risks, challenges, and opportunities related to facilities and administrative operations.
- Take on additional responsibilities as assigned
Knowledge, Skills and Abilities (KSAs):
- Bachelor’s degree similar to Business Administration, Operations Management, Facilities Management, Engineering or equivalent experience required; advanced degree preferred.
- 8–10 years of progressive experience in organizational operations, including facilities and administrative management and security.
- Minimum 5 years of supervisory experience, including leading people and teams.
- Demonstrated expertise in facilities operations, workplace administration, vendor management, project management, and security operations.
- Strong leadership, team-building, and coaching skills.
- Excellent organizational, problem-solving, and strategic planning abilities.
- Ability to balance day-to-day operational oversight with long-term strategic vision.
- High ethical standards, discretion, and ability to manage confidential information.
- Exceptional communication skills, both written and verbal.
- Proficiency with Google Workspace and Microsoft Office; ability to adapt quickly to new technologies.
