This Executive Assistant position manages a busy desk in our feature-focused Business & Legal Affairs group, part of Paramount, a Skydance Corporation. The role provides full administrative support for the Senior Vice President of Business & Legal Affairs. The ideal candidate has strong executive support experience within the entertainment industry, stellar organization skills, and enthusiasm for a fast-paced, collegial environment.

Must Have

  • Manage Executive’s calendar, coordinate meetings and appointments
  • Screen and respond to incoming call and email correspondence
  • Manage communication with internal and external contacts
  • Create, maintain, and organize shared databases and electronic filing systems
  • Prepare documentation, facilitate execution of legal agreements, file tracking
  • Format, review, and revise correspondence and other written materials
  • Redline and version-compare agreements, prepare deal memos
  • Partner with productions regarding day-to-day Business & Legal Affairs services
  • Handle ad hoc projects and duties like expense reports and processing bills
  • 2+ years administrative experience, preferably in Business Affairs or Legal
  • Working knowledge of entertainment landscape
  • Proficient in MS Software (Word, Outlook, Excel)
  • Proven experience setting up and maintaining organizational systems
  • Strong project- and time-management skills
  • Ability to prioritize and manage high volume of competing tasks
  • Strong analytical, problem-solving, interpersonal, strategic thinking, and reasoning skills
  • Effective written and verbal communication skills
  • Ability to handle confidential information and interface with all levels of management

Job Description

This Executive Assistant position manages a busy desk in our feature-focused Business & Legal Affairs group, part of Paramount, a Skydance Corporation. They are responsible for providing a full range of administrative support for the Senior Vice President of Business & Legal Affairs. The ideal candidate has experience providing strong executive support within the entertainment industry, stellar organization skills, and an enthusiasm for continuing their career in a fast paced, collegial environment. This onsite role will require five (5) days in-office out of the Paramount Pictures Studio Lot.

Responsibilities

  • Manage Executive’s calendar, coordinate meetings and appointments
  • Screen and respond to incoming call and email correspondence
  • Manage communication with internal and external contacts including staff and management, agents, executives, creative talent, legal teams, etc.
  • Create, maintain, and organize shared databases and electronic filing systems
  • Prepare documentation, facilitate the execution of legal agreements, file tracking
  • Format, review, and revise correspondence and other written materials including agreements, letters, memos, cover sheets, and other legal documents
  • Redline and version-compare agreements, prepare deal memos
  • Partner with productions regarding day-to-day Business & Legal Affairs services
  • Ad hoc projects and duties as required, such as expense reports, preparing agendas, processing counsel and vendor bills

Requirements

  • 2+ years administrative experience, within Business Affairs and/or Legal capacity preferred
  • Working knowledge of entertainment landscape (e.g. agencies, law firms)
  • Proficient in MS Software (Word, Outlook, Excel), DocuSign a plus
  • Proven experience setting up and maintaining organizational systems with high attention to detail
  • Project- and time-management skills, ability to prioritize and manage high volume of competing tasks in a fast paced, dynamic environment
  • Intellectually curious with strong analytical, problem-solving, interpersonal, strategic thinking, and reasoning skills
  • Ability to communicate effectively and efficiently through demonstrated strong written and verbal communication skills
  • Proven ability to handle confidential information and interface with all levels of management

The salary range for this non-exempt position in Los Angeles, CA is $52,000-55,000 annually. The rate offered may vary based on the candidate’s location, qualifications, experience and relevant expertise, among other factors. The range indicated is for base salary only and does not reflect the total compensation package, including bonus, benefits, etc.
