Job Summary

Oversee daily operations of building systems including HVAC, electrical, plumbing, life safety, and security. Develop and implement preventive maintenance programs. Manage repairs, renovations, and ensure facility cleanliness. Source, negotiate, and manage vendor contracts, monitoring performance and managing the facility budget. Ensure compliance with health, safety, and environmental regulations, conduct inspections, and manage emergency preparedness. Plan and coordinate office moves and oversee small to medium-scale construction projects.

Must Have

  • Oversee daily operations of all building systems, including HVAC, electrical, plumbing, life safety, and security.
  • Develop and implement a preventive maintenance program to minimize downtime and extend equipment life.
  • Manage and coordinate all repairs, renovations, and refurbishment projects.
  • Ensure the facility is clean, well-maintained, and presents a professional image.
  • Source, negotiate with, and manage contracts for external vendors.
  • Monitor vendor performance to ensure service level agreements (SLAs) are met.
  • Manage the facility budget and control expenses related to utilities, supplies, and services.
  • Ensure the facility complies with all local, state, and federal health, safety, and environmental regulations.
  • Conduct regular facility inspections and risk assessments.
  • Act as the primary point of contact for emergency preparedness and response.
  • Manage waste disposal and recycling programs.
  • Plan and coordinate office moves, additions, and changes to the workspace.
  • Assist in managing space allocation and layout planning to maximize efficiency.

Operations & Maintenance:

. Oversee the daily operations of all building systems, including HVAC, electrical, plumbing, life safety, and security.

. Develop and implement a preventive maintenance program to minimize downtime and extend the life of equipment.

. Manage and coordinate all repairs, renovations, and refurbishment projects.

. Ensure the facility is clean, well-maintained, and presents a professional image.

Vendor & Contract Management:

. Source, negotiate with, and manage contracts for external vendors, including janitorial, security, landscaping, and maintenance services.

· Monitor vendor performance to ensure service level agreements (SLAs) are met.

. Manage the facility budget and control expenses related to utilities, supplies, and services.

Health, Safety & Compliance:

. Ensure the facility complies with all local, state, and federal health, safety, and environmental regulations (e.g., OSHA, Fire Codes).

. Conduct regular facility inspections and risk assessments.

. Act as the primary point of contact for emergency preparedness and response, including creating and implementing emergency procedures.

· Manage waste disposal and recycling programs.

Space Management & Projects:

. Plan and coordinate office moves, additions, and changes to the workspace (office ergonomics).

. Assist in managing space allocation and layout planning to maximize efficiency.

· Oversee small to medium-scale construction and renovation projects on time and within budget.

Required:

. Bachelor's degree in Facility Management, Engineering, Business Administration, or a related field.

· Proven experience of [e.g., 5+ years] in facility management or a similar role.

· Strong knowledge of building systems, operations, and maintenance.

. Excellent understanding of workplace health, safety, and environmental regulations.

. Proven experience in budget management and financial acumen.

. Superb vendor and contract management skills.

· Excellent problem-solving, organizational, and multitasking abilities.

. Strong communication and interpersonal skills.

. Fluent in both Japanese and English.
