Job Summary

Oura is seeking a highly organized and reliable Front Office Reception Coordinator to be the primary point of contact for all visitors, clients, and partners. This entry-level, on-site role in San Francisco involves managing front desk responsibilities, including visitor reception, access control, and communications. Key administrative and operational support functions include mail/shipping management and office badging, ensuring seamless workplace operations. The coordinator will also assist with catering, events, and various administrative tasks, working Monday through Friday with an 8:00 AM start time.

Must Have

  • Warmly welcome new hires, visitors, clients, and candidates, ensuring a 5-star experience.
  • Own the badging system end-to-end, creating badges and managing access.
  • Ensure reception area, lobby, and main conference rooms are tidy, stocked, and presentable.
  • Serve as the primary point of contact for all couriers (FedEx, UPS, DHL, USPS).
  • Manage all incoming and outgoing mail, packages & deliveries.
  • Maintain detailed mailroom logs to track high-value items.
  • Monitor office supplies and mailroom stock, placing orders.
  • At least 1 year of experience in general administrative duties, customer service, or hospitality.
  • Ability to learn new software quickly; experience with G-Suite and Slack preferred.
  • Strong project management skills with an ability to multitask effectively.
  • Proactive and solution-oriented approach to issues.
  • Ability to handle sensitive information with total confidentiality.
  • Appreciation for a fast-paced startup environment and a "can-do" attitude.
  • Ability to work strictly onsite, Monday through Friday, with an 8:00 AM start time.

We are seeking a highly organized and reliable Front Office Reception Coordinator to serve as the company's primary point of contact for all visitors, clients, and partners. Reporting into the Chief of Staff, the Front Office Reception Coordinator will be stationed on the main floor, managing all front desk responsibilities, including visitor reception, access control, and communications. Beyond the front desk, the role encompasses key administrative and operational support functions, specifically mail/shipping management, and office badging to ensure our workplace operations run seamlessly. This is an excellent opportunity to gain foundational experience in Workplace Operations within a fast-paced environment.

What you will do:

Front of House Management

  • Be the First Impression: Warmly welcome new hires, visitors, clients, and candidates, ensuring they have a 5-star experience from the moment they step off the elevator.
  • Security & Badging: Own the badging system end-to-end. You will create badges for new hires, manage access for existing employees, and ensure all visitor logs are accurate and secure.
  • Space Maintenance: Ensure the reception area, lobby, and main conference rooms are tidy, stocked, and presentable throughout the day.

Mailroom & Logistics

  • Shipping & Receiving: Serve as the primary point of contact for all couriers (FedEx, UPS, DHL, USPS). Manage all incoming and outgoing mail, packages & deliveries.
  • Tracking: Maintain detailed mailroom logs to track high-value items and ensure prompt delivery to the correct internal teams.
  • Inventory: Monitor office supplies and mailroom stock, placing orders before items run low.

Administrative Support

  • Catering & Events: Assist with ordering catering for meetings, organizing team lunches, and supporting the Office Manager with onsite events.
  • Ad-Hoc Projects: Support the Office Manager and Administration team with various administrative tasks and logistical needs as they arise.

The Schedule

  • Hours: This is a strictly onsite role requiring an 8:00 AM start time Monday through Friday to ensure the office is open for early arrivals.
  • Location: You must be based in San Francisco or within a short commuting distance to ensure reliability and the ability to get onsite quickly if needed.

This is an on-site position based in San Francisco, CA.

  • Experience: At least 1 year of experience in general administrative duties, customer service, or hospitality.
  • Education: Bachelor’s degree or equivalent preferred.
  • Tech-Savvy: Ability to learn new software quickly; experience with G-Suite (Gmail, Calendar, Docs) and Slack is highly preferred.
  • Organization: Strong project management skills with an ability to multitask effectively.
  • Resourcefulness: You are proactive and solution-oriented. When an issue arises, you find a way to fix it.
  • Discretion: Ability to handle sensitive information (such as new hire details or executive meetings) with total confidentiality.
  • Attitude: You have an appreciation for a fast-paced startup environment and a "can-do" attitude—no task is too small if it helps the team succeed.

Oura takes a market-based approach to pay, which may vary depending on your location. US locations are categorized into tiers based on a cost of labor index for that geographic area. While most offers will be closer to the starting range, successful candidates' pay will be determined based on job-related skills, experience, qualifications, work location, internal peer equity, and market conditions. These ranges may be modified in the future.

Region 1 ($76,000 - $95,000)
