Job Summary

The GCO Operations Service Assistant supports the Springer Nature General Counsel’s Office by enhancing operational efficiency through various administrative and operational tasks. This role involves maintaining trackers, updating filing systems, assisting with system reporting, and supporting contract automation. Key responsibilities also include coordinating third-party rights checks, tracking vendor requests, and managing regulatory horizon tracking. The assistant will also identify opportunities for process optimization and collaborate with cross-functional teams to improve legal services.

Must Have

  • Support the execution of operational processes and workflows.
  • Maintain and update trackers and filing systems.
  • Support the Data, Reporting and Technology lead with regular system reporting and housekeeping tasks.
  • Support the Legal Engineer with administrative contract automation tasks, e.g. user set up queries.
  • Assist in the coordination and administration of outsourced third-party rights checks.
  • Track requests and responses from external vendors and ensure timely follow-up.
  • Support reporting and analysis of third-party rights check volumes, turnaround times, and outcomes.
  • Manage regulatory horizon tracking and provide regular updates.
  • Identify opportunities to streamline legal operations workflows and implement best practices.
  • Collaborate with cross-functional teams to improve systems and tools supporting legal services.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Excellent organisational and time management skills.
  • Strong written and verbal communication abilities.
  • Comfortable working independently and as part of a team.
  • A proactive mindset with a willingness to learn and take initiative.
  • Strong attention to detail.

Purpose of the Role:

The Springer Nature General Counsel’s Office (GCO) the GCO is made up of seven teams which together form a trusted partner to the business. Comprising Anti Piracy, Company Secretariat, Data Protection, Editorial Rights, Governance Risk and Compliance, Legal, and GCO Operations, the GCO contributes to the sustainable success of Springer Nature, by providing expert advice and supporting Springer Nature’s strategic ambitions whilst protecting our businesses and reputation.

The GCO Operations Service Assistant plays a key role in supporting the GCO’s operational efficiency with a range of administrative and operational tasks. This role requires strong attention to detail, good communication skills, and the ability to multi-task

Key Responsibilities:

Operational Efficiency

  • Support the execution of operational processes and workflows.
  • Maintain and update trackers and filing systems.

Skills and Experience

Essential

  • Proven experience in an administrative or operations support role, preferably within a legal or corporate environment.

  • Understanding of rights management or intellectual property processes is a plus.
