This part-time contract role for a Hospitality Sr. Account Executive focuses on sourcing and experiential events. The role involves qualifying requests, developing profit and negotiation strategies, utilizing technology for sourcing, and managing vendor relationships and contracts. Responsibilities also include collaborating with internal teams, forecasting programs, assisting with site inspections, and supporting new business RFPs. Must Have

  • Serve as point of contact for vendor destination management meeting requests
  • Work closely with Client Services, Creative, Hospitality, and Production on vendor negotiations and programming
  • Maintain proactive communication with client and account teams
  • Responsible for accurate program forecasting and updating business management system
  • Assist Client Services team in managing and planning site inspection documents
  • Maintain final electronic files per company SOPs
  • Prepare and conduct turnover meetings to Client Services Team
  • Develop and maintain professional working relationships with industry vendors and clients
  • Assist with new business RFPs, RFIs, presentation deliverables, and special projects
  • Knowledge of MICE Industry
  • 3-5 years’ experience in planning, sourcing, negotiating, contracting, and event designing
  • Strong Computer Skills: Excel, Word, PowerPoint
  • Strong knowledge of Cvent Sourcing
  • Experience in hotel buying, travel suppliers, and event support vendors
  • Knowledge of hotels and destinations globally
  • Experience in contract negotiations specific to hospitality industry

Hospitality Sr. Account Executive, Sourcing, Experiential Job Description

The Role and What You’ll Do:

  • Reports to Vice PresidentDirector, Hospitality
  • Qualifies requests and briefs.
  • Develops profit, sourcing, and negotiation strategy.
  • Utilizes technology tools for sourcing and tracking sourcing and contracted volume.
  • Qualifies vendor responses, proposals, contract process and addendums.
  • Point of contact for vendor destination management meeting requests.
  • Works closely with Client Services, Creative, Hospitality, and Production on vendor negotiations, vendor performance and unique programming ideas.
  • Maintains initiative-taking, positive, and open line of communication with client and account teams to ensure understanding of deliverable timelines and roles and responsibilities.
  • Responsible for accurate program forecasting and updating business management system with current financials up until the file is turned over to operations.
  • Assist Client Services team in managing and planning site inspection documents.
  • As needed, arrange brainstorm and creative sessions for destination and programming ideation
  • Maintain final electronic files through the process as required by company standard operating procedures.
  • Prepare and conduct turnover meetings to the assigned Client Services Team
  • Develop and maintain excellent and professional working relationships with industry vendors and clients.
  • Look to develop workflow that will help strengthen the cohesiveness between other departments.
  • High-level of accuracy and diligence
  • Assist with new business RFPs, RFIs, presentation deliverables and special projects as assigned.

You Have These:

  • Knowledge of MICE Industry
  • Minimum of 3-5 years’ experience in planning, sourcing, negotiating, contracting and event designing with a hotel, convention center, organization, DMC, Production Company, or 3rd Party Agency
  • Strong Computer Skills: Excel, Word and PowerPoint
  • Strong knowledge of Cvent Sourcing
  • Experience in hotel buying, travel suppliers, event support vendors
  • Knowledge of hotels and destinations globally, as well as ability to maintain supplier relationships
  • Experience in contract negotiations, specific to hospitality industry nuances and legal aspects, securing best rates, concessions and favorable contract terms.
  • Initiative-taker, motivated, great communicator and resourceful
  • Candidates with CMP or similar industry certifications a plus
