Job Description

Gupta Media is seeking an Office Coordinator for their new Boston Headquarters. This role focuses on creating a welcoming and organized environment, serving as the first point of contact for clients, partners, and staff. The ideal candidate thrives in a fast-paced, energetic office and ensures smooth operations by managing various administrative tasks and supporting events.
Must Have:
  • Meet and greet staff, clients, partners, and visitors
  • Manage visitor coordination, including adding guests to the building log and providing directions
  • Handle incoming calls — screening, forwarding, and sharing messages
  • Manage all incoming mail and packages (USPS, FedEx, UPS, and couriers)
  • Support the delivery and stocking of supplies in the Cafe and staff support areas
  • Ensure conference rooms in the reception area and office are prepared for use
  • Help maintain clean and organized spaces throughout the reception, café, common areas, and pantries
  • Assist with planning, coordinating, and setting up internal and client-facing events
  • Provide support as needed to executive administrator and management team
  • Coordinate office facilities and maintenance requests
  • Take on additional responsibilities as assigned
  • Work efficiently and independently with a high level of professionalism
  • Coordinate effectively with partners, the agency, clients, and vendors
  • Maintain strong attention to detail
  • Prioritize and manage multiple tasks simultaneously
  • Communicate clearly and effectively, both verbally and in writing
  • Demonstrate an understanding of the industry and its standards
  • Bring a self-starter mindset, internal motivation, and a passion for startup culture

Compensation

At Gupta Media, base salary is one component of our total compensation and benefits package. For this role, the anticipated base salary range is $50,000 - $55,000, depending on relevant experience, skills, and qualifications. This role is eligible to participate in our annual bonus plan, which is based on the company's performance.
