Mercer is seeking a Program Coordinator for its Change and Transformation team. This hybrid role, based in Sydney, Melbourne, Adelaide, or Brisbane, requires working at least three days a week in the office. The coordinator will provide administrative and operational support to the Program Management Office (PMO) for large-scale strategic projects, ensuring alignment with organizational objectives and delivery of expected outcomes. The role involves establishing governance, proactive planning, stakeholder management, risk/issue management, resource coordination, financial management, reporting, quality assurance, and continuous improvement.

  • Strong organizational, communication, and stakeholder management skills.
  • Ability to manage multiple priorities and adapt to changing project needs.
  • Proficiency in project management tools and methodologies.
  • Expert in MS Office Suite and collaboration tools such as Teams and SharePoint.
  • Proven experience in producing high quality project communications and presentations.

We are seeking a talented individual to join our Change and Transformation team at Mercer. This role can be based in Sydney, Melbourne, Adelaide or Brisbane. This is a hybrid role that has a requirement of working at least three days a week in the office.

Program Coordinator – Change and Transformation (Fixed-term Contract)

The Program Coordinator will provide administrative and operational support to the Program Management Office (PMO) for large-scale strategic projects. This role requires a highly organized and experienced individual to support the planning, execution, and governance of programs, ensuring alignment with organizational objectives and delivery of expected outcomes.

The ideal candidate will possess extensive experience in program coordination within large transformation projects, exceptional stakeholder management skills, and a strong ability to navigate complex workstreams and activitites. They will demonstrate a proactive approach to problem-solving, a keen eye for detail, and the ability to adapt to evolving priorities in a dynamic environment.

Fixed term contract

We will count on you to:

  • Establish and role model program Governance. Establish and maintain robust governance frameworks, including policies, procedures, and reporting standards to ensure consistent program execution and compliance.
  • Be proactive in planning & scheduling: Develop, maintain, and monitor detailed program plans, timelines, and milestones, ensuring alignment with organizational goals and resource availability.
  • Facilitate stakeholder management: Act as a central point of contact for program stakeholders, facilitating effective communication, managing expectations, and providing regular updates on progress, risks, and issues.
  • Facilitate Risk & Issue Management: Identify, assess, and escalate risks and issues proactively, implementing mitigation strategies to minimize impact on program delivery.
  • Lead Resource Coordination: Support resource planning and allocation across workstreams, ensuring optimal utilization and addressing capacity constraints.
  • Manage Financials: Assist in budgeting, financial tracking, and reporting to ensure the program remains within scope and budget.
  • Lead Reporting & Documentation: Prepare and present comprehensive status reports, dashboards, and documentation for senior leadership and governance bodies.
  • Provide Quality Assurance: Monitor quality standards and ensure deliverables meet organizational and stakeholder expectations.
  • Identify Continuous Improvement: Identify opportunities for process improvements within the PMO and program delivery practices.

What you need to have:

  • 10 years’ experience working within a project management discipline
  • Minimum 5 years of experience in program or project coordination, preferably within a consulting or corporate environment
  • Certification in Project Management (e.g., PMP, PMBOK, PRINCE) is a plus.
  • Proven experience in a PMO role within large, complex or multi year programs including demonstrated leadership in driving program success through effective coordination and governance.
