Job Summary
The Staff Development Assistant at Mi’pu’mi supports the Staff Development Manager in all aspects concerning current and future employees, focusing on legal, monetary, professional, and personal matters. This part-time, on-site role in Vienna, Austria, emphasizes a people-centric approach, moving beyond traditional HR to foster a supportive and engaging work environment for a multinational team of about 60 people across Europe. The assistant will be involved in hiring, onboarding, employee development, and maintaining sustainable work practices.
Must Have
- Take an active role in shaping and supporting all organizational processes that concern staff.
- Stay on top of incoming applications and deadlines.
- Join remote and on-site interviews, make protocols, maintain database.
- Push discussion and decision-making forward and take care of timely follow-up with candidates.
- Provide all services necessary for relocation from abroad and onboarding.
- Provide organizational support for employee development and training efforts.
- Support Staff Development Manager with guided research into professional development opportunities.
- Maintain a sustainable approach to working, including monitoring vacations, absences, and overtime.
- Stay informed on tools to better understand and fulfill employee needs.
- Keep internal paperwork for individuals up to date.
- Coordinate with the payroll office as needed.
- Understand concepts like unconscious bias.
- Communicate comfortably and with purpose, navigating sensitive topics with calm and empathy.
- Maintain strict standards of confidentiality.
- Be confident in English skills and able to overcome language barriers.
- Be fluent in German (strongly recommended) for interacting with Austrian authorities and German legalese.
- Have at least two years of experience in positions with responsibility over personnel.
- Possess good general IT literacy and confident command of Microsoft Office.

Staff Development Assistant

We are looking for a part-time Staff Development Assistant to work on-site in Vienna, Austria. You will be working closely with our Staff Development Manager while taking care of our work force across Europe.
What even is a Staff Development Assistant?
At Mi’pu’mi we cherish the people we are working with. Keeping everybody content, engaged and up to any challenge is a topic very dear to our hearts. For a company of about 60 people this means a lot of work. This is where you come into play: As a Staff Development Assistant you will be closely collaborating with our Staff Development Manager and support them in all topics that involve current and future employees and their legal, monetary, professional and sometimes personal matters.
This sounds a lot like plain old Human Resources work, one might say. However, looking around our web page, you may have noticed that we like to question how things are done and find better ways. For one, we’re not thinking of people as “resources” - We’d like to prove it possible to manage everybody’s ability and contribution in order to run a successful business, all the while holding everybody’s personal traits and needs in high regards.

Here’s what you do
You take an active roll in shaping and supporting all organizational processes that concern our staff. Doing so, you report to the COO and closely collaborate with the Staff Development Manager.
This starts with our multi-step hiring process: You stay on top of incoming applications and deadlines, join remote and on-site interviews, make protocols, maintain our database, push our discussion and decision-making forward and take care of timely follow-up to show every candidate the respect they deserve.
Next up is potential relocation from abroad and on-boarding: Together with our small but dedicated administration team, your aim is to provide all services necessary for somebody to feel a cherished part of Mi’pu’mi from day one.
Further on, you provide organizational support for carrying out and refining our employee development and training efforts, by supporting the Staff Development Manager with guided research into professional development opportunities for our staff.
And finally, contributing to a people-first company, you are instrumental in maintaining a sustainable approach to working. This includes keeping an eye on people’s vacations, absences and accumulated overtime as well as staying informed on tools to help us better understand and fulfill the needs of our employees. This includes keeping our internal paperwork for any individual up to date, as well as coordination with our payroll office as needed.

You communicate comfortably and with purpose. Never losing sight of the people behind the matters lets you navigate sensitive topics with calm and empathy while maintaining strict standards of confidentiality.
Confident in your English skills, you are willing and able to overcome the occasional language barrier between non-native speakers.
It’s not usually a requirement at Mi’pu’mi, but in this position you will interact with Austrian authorities and deal with German-language legalese. We strongly recommend you being fluent in German.
And lastly, you have been around positions with responsibility over personnel for at least two years. This is reflected in your good general IT literacy and confident command of Microsoft Office.

Compensation & perks
If you have three years of relevant professional experience, you can look forward to an annual gross salary of EUR 22'300,--. If you have fewer, more or other additional qualifications, an adjustment can be negotiated.
This covers 20 hours a week at around 44 weeks per year, when bank holidays and your mandatory vacation (see below) are taken into account.
