Job Summary

Job Description

This role involves drafting, reviewing, analyzing, negotiating, and processing contracts and related documents for operational/project teams, ensuring accuracy in accordance with company policies and systems. The Administrator will work closely with Legal, Risk Management, and Finance Departments, assisting with bidder pre-qualification, tender processes, contract execution, change orders, and close-out documentation, while maintaining compliance with contractual obligations and internal controls.
Must have:
  • Draft, review, analyze, negotiate, and process contracts and related documents.
  • Insure accuracy for operational/project teams in accordance with Contracts Policies and Procedures.
  • Work in conjunction with Legal, Risk Management, and Finance Departments.
  • Assist with pre-qualification of bidders and securing confidentiality agreements.
  • Draft scopes of work and issue Expressions of Interest (EOI), Pre Qualification Questionnaires (PQQ), Invitations to Tender (ITTs), requests for proposals (RFPs), invitation for bid (IFBs).
  • Prepare and issue addenda to bidders.
  • Receive and record proposals, assist project team with bidder review and selection.
  • Prepare appropriate contract form and assist with negotiation of Terms & Conditions.
  • Verify insurance coverage, Vendor qualification, and prepare Pre-Construction Agreements, Novation Agreement, and Collateral Warranties.
  • Coordinate with successful bidder for execution of final contract.
  • Attend weekly/monthly project meetings.
  • Assist with preparation of design/field directives, directive settlement forms and monitoring of related informational logs.
  • Prepare and issue contract change orders based on directive settlements.
  • Issue Contract Status Reports.
  • Maintain contract files, document control, and retention of files.
  • Monitor notices to owners related to payment claims, delay events, and similar claims.
  • Prepare and issue close out documentation.
  • Assist with claims administration.
  • Ensure compliance of contractual obligations and that partnership policies and procedures/internal controls are followed.
  • Understand and actively participate in Environmental, Health & Safety responsibilities.
  • Associate’s degree is required.
  • Contract experience in drafting, analyzing, amending and negotiating contracts required.
  • Consistent attendance is a job requirement.
Good to have:
  • Bachelor’s degree is preferred.
  • Experience and knowledge of the JCT and NEC forms of contract is preferred.

Job Description

Drafts, reviews, analyzes, negotiates and processes contracts and related documents to insure accuracy for operational/project teams in accordance with the Contracts Policies and Procedures and all applicable Universal Creative Systems. Work in conjunction with Legal, Risk Management, and Finance Departments.

Qualifications

JOB RESPONSIBILITIES:

  • Assists with pre-qualification of bidders, and securing of confidentiality agreements. Drafts scopes of work and/or compiles and issues all Expressions of Interest (EOI), Pre Qualification Questionnaires (PQQ), Invitations to Tender (ITTs), requests for proposals (RFPs), invitation for bid (IFBs) for approvals and then issuance to bidders. Includes preparation and issuance of addenda to bidders.
  • Receives and records proposals. Assists project team with bidder review and selection of successful bidder. Prepares appropriate contract form, including all addenda items, and assist with negotiation of Terms & Conditions in a form consistent with partnership policies and procedures.

  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UDX policy, procedures, training and team member involvement activities.
