Job Description

This role is for a Logistics Team Leader specializing in FMCG in Hai Phong. The primary responsibilities include managing warehouse goods, equipment, and documents, overseeing actual operations, and handling cash reconciliation. The role requires proficiency in internal management software, communication with sales departments and customers, optimizing delivery routes, and managing a team. The ideal candidate will also be responsible for financial reconciliation and expense control within the warehouse.
Must have:

  • Ensure correct ordering process with partner software.
  • Perform monthly physical inventory counts.
  • Manage equipment for smooth operations.
  • Store documents, records, and stationery.
  • Monitor goods movement via WMS/DAS daily.
  • Communicate with Sales for order fulfillment.
  • Contact customers to increase orders and resolve issues.
  • Participate in product training from suppliers.
  • Optimize delivery routes for vehicle fleet.
  • Learn and update traffic information for the area.
  • Proactively recover empty beer crates from customers.
  • Prepare operational reports as required.
  • Manage team tasks and working hours.
  • Record overtime incurred.
  • Plan equipment inspection and repair.
  • Proficient in Microsoft Office (Word, Excel).
  • Handle operational errors and complaints.
  • Reconcile and deposit cash to the bank.
  • Reconcile warehouse expenses and send invoices.
  • Proactively collect outstanding debts from customers.
  • Control warehouse expenses (utilities, waste).

Main Responsibilities

  • Management of Goods/Equipment/Documents:
  • Warehouse keeper manages goods in the warehouse, including: protecting assets, goods, and warehouse equipment.
  • Use internal management software to control goods and reconcile actual quantities (WMS/DAS).
  • Use partner management software to ensure the ordering process is carried out correctly (sufficient quantity and correct items) according to the process.
  • Perform physical inventory counts on the last day of each month.
  • Manage equipment, tools, and instruments to ensure smooth operation.
  • Manage and store documents/records/stationery.
  • Actual Operations Management:
  • Monitor the status of incoming/outgoing goods using the system (WMS/DAS) daily to reconcile with actual quantities.
  • Communicate with Sales Departments (B2B, Field Sales) to prepare sufficient order quantities as required and on time.
  • Contact customers (restaurant, eatery partners) to encourage increased order quantities and provide support for issues arising during the ordering/delivery process.
  • Participate in meetings, training, and product introductions from product suppliers (beer, soft drinks, etc.) as required.
  • Manage the allocation of delivery routes for the vehicle fleet to optimize delivery capability.
  • Candidates are required to have the ability to learn and update information on traffic conditions (routes, load restrictions, time restrictions) in the managed area.
  • Monitor, manage, and proactively recover empty beer crates from customers.
  • Establish operational reports according to specified timelines or as required by higher management.
  • Manage the team, including tasks and actual working hours.
  • Also record any overtime incurred.
  • Plan for inspection and repair of equipment or tools to ensure stable operation.
  • Proficient in using Microsoft Office tools (Word, Excel).
  • Receive, process, and resolve errors/complaints arising during operation.

  • Cashier/Cash Flow Reconciliation:
  • Check, reconcile, and deposit cash into the bank according to the committed process timeline.
  • Reconcile actual warehouse expenses, review, and send invoices to Accounting according to the payment schedule.
  • Monitor and proactively collect money from customers with outstanding debts (rollover, post-paid, fixed credit terms).
  • Control expenses (electricity, water, internet, waste disposal, etc.).

Working Hours

  • Monday - Saturday from 7:30 AM - 5:30 PM (1-hour lunch break)
  • Overtime: calculated based on actual overtime (not exceeding 40 hours/month)

Job Requirements

  • 3-5 years of experience in Logistics, FMCG, transportation.
  • Proficient in using computers (Microsoft Office) and mobile applications.
  • College/University degree.
  • Experienced in team management, capable of working independently and as part of a team.
  • Capable of flexible problem-solving.
