Job Summary

The Analyst-Contract administration performs SAP data management for all aspects of contracts and legal documents, coordinating and submitting deliverable data to contract representatives. This role involves reviewing contractual data requirements and supporting contract and project management teams across NAM, EMEA, and APAC with administrative tasks. Key responsibilities include correspondence management, contract repository maintenance, SharePoint data management, variation handling, invoicing support, and ensuring compliance with export license statutes and regulations, as well as project close-outs.

Must Have

  • Hold a four-year degree in Business Administration or related field.
  • Possess a minimum of two years of related experience.
  • Familiarity with commercial and international terms and conditions.
  • Proficiency in word processing, spreadsheets, and email applications.
  • Ability to work under deadlines and for extended periods at a computer.
  • Effective verbal and written communication in English.
  • Flexibility for NAM, European, and APAC timezones.

Job Summary:

Performs SAP data management functions for all aspects of contracts and other legal binding documents. Coordinates and submits deliverable data to the contracts’ representative. Provides SAP data entry skills for all contract, understands and reviews contractual data requirements and coordinates the submittal of data to the respective contracts lead. This position typically works under minimal supervision and direction.

Support to the contract and project management teams in NAM, EMEA and APAC in respect of all administrative aspects of customer contract including correspondence management and tracking, contract repository management, project SharePoint data management, variation management, invoicing related support and close outs

Essential Job Duties and Responsibilities:

  • Work with key stakeholders; primarily Program Managers and the Finance Department, to ensure:
  • All necessary master data is captured and set up in SAP
  • Contract, statements of work and specifications are reviewed to determine data submission requirements.
  • All relevant Contracts documentation is maintained on the applicable SAP Share Point site
  • All SAP contracts re maintained with appropriate amendments for scope/price evolutions
  • All invoices are generated in relation to SAP contracts at the required due date
  • All Intercompany contracts are set up in SAP following receipt of an intercompany purchase order from another Cubic entity and are subsequently administered and maintained SAP related
  • Ensures compliance with applicable export license statutes and regulations
  • Work, as applicable, with regionally based contract managers, other project personnel and accounts receivable to ensure
  • Correspondence is logged, distributed and tracked for each contract
  • Required contract management plans are tracked to completion
  • Documentation on the Project SharePoint site and Contracts Repository are maintained to the required standards
  • Preparation of data to support invoices.
  • Support to Variation preparation is provided
  • Internal and external audit requests are promptly responded to
  • Certificates required to be provided to customers are prepared accurately and submitted on time
  • Data development/preparation for submission to customers
  • Project close outs are completed in accordance with Corporate Policy

Minimum Job Requirements:

Four-year college degree, or equivalent, in Business Administration or related field, plus a minimum of two years of related experience.

Must be familiar with necessary commercial and international terms and conditions. Must know how to use computer applications such as word processing, spreadsheets and e-mail. Must be capable of working at a computer terminal (workstation) up to nine hours per day.

Ability to perform tasks under work deadlines.

Good reasoning, problem solving, and excellent organizational skills. Ability to follow written and verbal direction, and effectively interface with technical employees, management, and customers.

Must communicate effectively, both verbally and in written form in English.

Flexibility to support working hours aligned to NAM, European and APAC timezones
