We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide top-level administrative support to our organization’s Chief Data and Analytics Officer and her team. The ideal candidate will excel in communication, multitasking, and problem-solving, ensuring the smooth operation of the executive’s office. This role requires high professionalism, discretion, and the ability to work in a fast-paced environment.

The Executive Assistant will be responsible for managing various executive-level tasks, including scheduling, project coordination, travel arrangements, and liaising with key stakeholders internally and externally.

What You'll Do

Calendar Management:

Manage complex scheduling for the senior executive and her leadership team, ensuring timely coordination of meetings, appointments, conferences, and travel arrangements. Anticipate and adjust to calendar changes with high attention to detail.

Communication & Correspondence:
Act as the primary point of contact between the executive and internal/external stakeholders, partners, and vendors. When necessary, handle emails or other forms of communication, ensuring prompt responses and follow-up.

Meeting Preparation & Coordination:
Prepare and distribute agendas, presentations, and other materials in advance of meetings when required. Attend meetings to take detailed minutes and track follow-up items occasionally.

Travel & Expense Management:
Arrange domestic and international travel, including flights, accommodations, transportation, and detailed itineraries. Process travel and expense reports on time.

Project Support & Coordination:
Assist with project management, such as group meetings, team events, or vendor events. Track progress on key initiatives and ensure deadlines are met. Collaborate with various departments to streamline processes and communication.

Confidentiality & Discretion:
Handle sensitive and confidential information with the utmost integrity and professionalism.

Problem Solving & Decision Making:
Proactively identify and resolve issues independently while providing regular updates to the executive.

Ad Hoc Duties:
Support additional tasks as assigned to ensure seamless executive operations.

What We're Looking For

  • Bachelor’s degree in business administration, communication, or a related field is preferred but not required
  • Minimum of 5-7 years of experience in an executive assistant or similar administrative role, preferably supporting senior-level executives.
  • Exceptional written and verbal communication skills.
  • Strong organizational and time-management skills.
  • Ability to prioritize and manage multiple tasks under tight deadlines.
  • Proficiency in office software (Microsoft Office 365, Powerpoint, etc.).
  • Experience with calendar management tools (Outlook, Google Calendar, etc.).
  • Strong attention to detail and accuracy.
  • Professional, calm, and confident demeanor.
  • Ability to handle confidential information with discretion.
  • Self-motivated and able to work independently with minimal supervision.
  • Strong interpersonal skills and a positive attitude.

Pay Range

$73,500 - $136,500 per year

Our goal is to pay a market competitive salary focusing near the median of our pay ranges. However, final offers for all positions will be based on several factors such as experience level, education, skills, work location, and internal pay equity.
