As an Executive Assistant to the Managing Director of Springer Nature India, this contractual role involves providing comprehensive administrative and executive support. The successful candidate will manage schedules, communications, travel, and meetings, ensuring the efficient operation of the MD's office. Responsibilities also include drafting correspondence, preparing presentations, conducting research, and collaborating with cross-functional teams on special projects, while maintaining confidentiality and supporting strategic initiatives within the publishing industry.
Must Have:
  • Manage and prioritize MD's schedules, emails, and communications.
  • Schedule meetings, appointments, and manage MD's travel itineraries.
  • Coordinate and organize meetings, conferences, and events.
  • Facilitate communication between MD and stakeholders.
  • Draft, edit, and proofread correspondence, reports, and presentations.
  • Conduct research and prepare background materials for meetings.
  • Oversee daily operations of the executive office.
  • Organize and maintain files, records, and databases.
  • Manage operational and execution workloads of MD’s office.
  • Collaborate with cross-functional teams to meet project deadlines.
  • Assist in planning, execution, and follow-up of special projects.
  • Analyze research policy reports for the Publishing Industry in India.
  • Engage with academic leaders and researchers.
  • Identify and engage with Publishing research industry forums.
  • Establish and monitor KPIs/OKRs via dashboards.
  • Prepare and present detailed operational reports to the Managing Director.
  • Bachelor’s/master’s degree in business administration or related field.
  • Strong organizational, project management, and problem-solving skills.
  • Exceptional interpersonal and presentation skills.
  • Proven experience supporting top-level executives.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to handle confidential information with discretion.
  • Proactive attitude and ability to work independently.

About the Role

As EA to MD in the Managing Director’s Office of Springer Nature India, you will play a pivotal role in supporting the efficient and effective functioning of the MD’s office. This position requires a highly organized, proactive, and detail-oriented professional with exceptional communication, interpersonal and Presentation skills. The successful candidate will be responsible for managing administrative tasks, coordinating executive activities, and ensuring seamless communication within the organization.

Key Responsibilities:

1. Act as the primary point of contact for the Managing Director, managing and prioritizing schedules, emails, and communications.

2. Schedule meetings and appointments and manage travel itineraries of the Managing Director.

3. Coordinate and organize meetings, conferences, and events, including travel arrangements.

4. Facilitate communication flow between the Managing Director and internal/external stakeholders.

5. Draft, edit, and proofread correspondence, reports, and presentations on behalf of the Managing Director.

6. Conduct research and prepare background materials for meetings and presentations.

7. Oversee the daily operations of the executive office, ensuring a smooth and efficient workflow.

8. Organize and maintain relevant files, records, and databases to support decision-making processes.

9. Manage operational and execution workloads of MD’s office.

10. Collaborate with cross-functional teams to ensure project deadlines are met.

11. Assist in the planning, execution, and follow-up of special projects and initiatives as directed by the Managing Director.

12. Analyze and review research policy reports specific to Publishing Industry in India and keep the relevant members updated.

13. Actively engage in co-ordination with Key academic leaders, Researchers across top notch medical and engineering colleges

14. Identify and engage with Publishing research industry forums such as FICCI, CII/STM etc . 15. Establish and monitor KPIs/OKRs to ensure operational excellence is maintained via dashboards.

16. Prepare and present detailed operational reports, including KPIs/OKRs, forecasts, and risk assessments, to the Managing Director

Qualifications:

  • Bachelor’s/master’s degree in business administration, management, or a related field.
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
  • Exceptional interpersonal and presentation skills

Requirements:

  • Proven experience in a similar role, preferably supporting top-level executives.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant tools.
  • Ability to handle confidential information with discretion.
  • Proactive attitude and ability to work independently.
