Iron Mountain's Digital Business Unit transforms physical records into accessible digital formats, streamlining business operations. We are seeking a dedicated Digital Solutions Operations Supervisor in Rugby to oversee document logistics, preparation, scan conversion, and post-scan processes in both general and secure production environments. This role ensures optimal facility performance, adherence to operational processes, and attainment of commercial goals while upholding full compliance with local legislation and IME procedural requirements.
Must Have:
  • Promote and maintain a high standard of operational excellence and personnel management, supervising all operational activity and operational personnel within agreed parameters.
  • Ensure all direct reports are met with daily and updated with current priorities and issues.
  • Keep relevant colleagues updated on all operational or supply chain issues, productivity improvements, service improvements, and cost savings initiatives.
  • Agree, monitor, and update a service delivery plan that commercially maximises facility resources while meeting or exceeding client expectations.
  • Agree and continually monitor/update a pipeline forecast and work-in-progress stream for all service deliverables.
  • Ensure a detailed and factual list of daily service deliverables is established, maintained, and monitored.
  • Set, monitor, and continually seek to improve operational performance (staff contribution and service deliverables); share best practices.
  • Ensure specific and detailed SOP workflows are communicated effectively to all subordinate employees; ensure compliance by training and equipping employees, and maintaining training records.
  • Ensure detailed TQA processes and procedures have been communicated and are being followed.
  • Maintain a commercially viable operation through daily monitoring/interrogation of financial results.
  • Ensure produced client products and services achieve/exceed agreed cost over-recovery objectives.
  • Ensure local Iron Mountain DS contracts are delivered against agreed cost models; plan/initiate corrective action where performance is below required objectives.
  • Previous experience within document scanning & logistics, data processing or similar environment.
  • Proven Operational Leadership in document logistics or similar environment.

The Role

We are currently seeking a dedicated, people orientated individual to fill the role of Digital Solutions Operations Supervisor at our Rugby location.

As a key management figure, you'll be responsible for overseeing document logistics, preparation, scan conversion, and post-scan processes in both general and secure production environments. Your role will be crucial in ensuring optimal facility performance, adherence to operational processes, and attainment of commercial goals while upholding full compliance with local legislation and IME procedural requirements.

Key Accountabilities

  • Promote and maintain a high standard of operational excellence and personnel management, supervising all operational activity and operational personnel within the agreed upon parameters;
  • Ensure that all direct reports are met with daily and updated with current priorities and issues that may impact work in progress, delivery schedules, pipeline forecasts or commercial objectives;
  • Keep relevant colleagues updated on all operational or supply chain issues, productivity improvements achieved, service improvements achievements and cost savings initiatives;
  • Agree, monitor and update on a regular basis a service delivery plan that commercially maximises the facility’s resources whilst meeting or exceeding client expectations
  • Agree and continually monitor/update a pipeline forecast and work-in-progress stream in relation to all service deliverables for the facility.
  • Ensure that a detailed and factual list of daily service deliverables is established, maintained and monitored at all times.
  • Set, monitor and continually seek to improve operational performance (staff contribution and service deliverables); share best practices with colleagues, through regular performance reviews and feedback
  • Ensure that specific and detailed SOP workflows are communicated effectively to all subordinate employees; ensure compliance by effectively training and equipping employees, and maintaining evidential training records
  • Ensure that detailed TQA processes and procedures have been communicated and are being followed according to requirement.
  • Maintain a commercially viable operation through daily monitoring/interrogation of financial results.
  • Ensure that produced client products and services achieve/exceed agreed cost over-recovery objectives.
  • Ensure that local DS contracts are delivered against agreed cost models; plan/initiate corrective action where an individual product, contract, order or individual member of staff is performing below required objectives.
